Job Description - IT Internal Sales Support Administrator

POSITION: Internal Sales Support Administrator
LOCATION: Germiston Sales Support
  • Manage correspondence between Category Head, Sales Consultants and their customers
  • Liaising with call center agents and Sales Consultants
  • Monitor customer accounts
  • Providing data and reports to help achieve sales targets
  • Keeping track of sales targets
  • Sourcing new sales opportunities through inbound lead follow-up and outbound cold calls and emails
  • Direct new sales opportunities to the appropriate sales consultant & CH for further development and closure
  • Research accounts, identify key players and generate interest
  • Contact customers and prospects to arrange appointments
  • Contribute to achieving daily/monthly sales targets
  • Log any customer problems or complaints and notify sales consultant and management
  • Update reps on order status and delivery details so that they can keep customers informed
  • Analyze (and develop) customer and portfolio non-buying reports weekly (and monthly) and react immediately
Customer Service
  • Providing customer with stock information
  • Obtain a range of information from customers for identifying customer needs
  • Contact customer to update them on the status of an order or a delivery
  • Resolving customer queries
  • Updating details when customer contacts change
  • Stimulate customer interest by promoting and explaining the benefits of a range of goods and services
  • Maintaining customer services by responding openly and objectively to complaints/queries relating to goods and   services
  • Assisting CH with the planning and executing of promotions, campaigns, external and internal training
Sales, Order and Supplier Administration
  • Receives emailed orders from customer and Sales Consultants
  • Compiling and forwarding quotations
  • Processing customer orders ensuring correct prices, discounts and item numbers
  • Follow-up on quotes not converted to sales orders
  • Receiving feedback on processed and back orders and informing the relevant person(s)
  • Completing details on collection cards for goods to be collected
  • Assisting customers with orders consisting of non-standard stock items and repairs
  • Update sales agreements as needed
  • Follow up on process credits and recharges
  • Monitor and follow-up back orders
  • Communicate with logistics departments to agree on delivery dates where applicable
  • Follow up ETA’s with suppliers
  • New product requests for buyouts
  • Completing ITS/ITH RFQ’s and Tenders. Pricing and all supporting documents
Stock Management & Procurement
  • Manage procurement between supplier and branches.
  • Liaising and developing strong relationships with suppliers/distributors.
  • Conduct negotiations with suppliers (Pricing, ETA’s and Supply)
  • Liaise with suppliers over the return of slow moving/obsolete stock.
  • Run various stock reports when needed
  • Ability to manage stock at the right margins
  • Manage and control stock movement
  • Management of markdowns and slow moving stock working closely with CH
  • Control inter-branch transfer of stock when needed
  • Develop a strong working relationship with Internal Procurement Team
  • Follow up ETA’s with suppliers and keep internal and external customer informed
HP - Supplies Big Deals
  • Management of SBD’s/contracts/pricing and ensuring that they are always updated and done in a timeous manner
  • Working closely with CH and Contracts Administrators
  • Ensure all claims has been processed and monthly paperwork submitted to National
  • Responsible for checking and ensuring that all rebates on SBD’s are accurate and relevant to related sales
  • Timeous report submission to senior management on SBD related issues
  • Working with management team to ensure that Contracts / Pricing are up to date and presented to the customer   timeously
  • Informing/advising customers of a range of ITS/ITH products/services available (SBD deals)

Minimum qualifications and experience:
  • Matric
  • Previous experience in a similar role or sales support environment
