The Incumbent will be responsible for: 1.Secretarial Support a) Manage the Directors’ diaries b) Handle incoming calls b) All incoming calls screened and managed according to the Directors requirements c) Record messages accurately and timeously d) Respond to queries by providing the required information e) Maintain internal and external stakeholder relations f) Provide secretariat support for the Director’s meetings (take minutes, agenda etc..) in consideration of urgent core tasks 2.Administrative Support a) Edit and format submissions, memos and other documents on behalf of the Directors Organise Directorates meetings(including logistics) and draft minutes and also support the Director with external meetings 3.Logistical Support a) Arrange traveling and accommodation for Directors b) Process traveling and subsistence claims of Directors 4. Financial administration support a) Monitor unit cashflow and capture expenses in the commitment register b) Process requests on procurement of unit required good and services c) Process payment advice of procured goods and service for the unit d) Arrange petty cash and ensure compliance with relevant processes
