SUMMARY: - POSITION INFO: This position will be suitable for the 21st Century Personal Assistant who is the gatekeeper, multi-tasker, go-to person and master of all.
Join this dynamic and professional team at a well established Private School in Muckleneuk, Pretoria.
The Personal Assistant will report to the Executive Head of the school and will have previous experience in a similar role. They will be extremely professional, not only in their work, but also in their communication, appearance and conduct.
This is not a half-day position and applicants must be aware of this.
The Personal Assistant will be responsible for:
Performing administrative duties
Minute-taking during meetings and assisting with follow-up actions
Proactively managing diaries and assisting with time management of the Executive Head
Drafting/creating / assisting with presentations/reports / correspondence,
Providing support services to the rest of the team
Managing telephonic and electronic communication on behalf of Executive Head
Day-to-day issues management,
Arranging meetings,
Arranging school events
Working with the team as a communication liaison with parents,
Assisting with reception as needed.
The below criteria is required of the applicant:
Office Administration Skills
Highly proficient in the English language, both written and spoken.
Exceptional Computer Literacy and Data Base Skills.
Highly organised and efficient.
Detail-oriented.
Able to work in a noisy, school environment.
High standard of accuracy, quality and timeliness;
8 to 10 years of experience is required as a Personal Assistant
Energetic, self-motivated with the ability to use own initiative;
Ability to work under pressure.
A proactive approach to work;
Ability to analyse information and manage accordingly e.g. in responding to emails and parent-student communication.
The minimum requirement is a recognised matric certificate and diploma.
Confidentiality and discernment are important.
Proficiency in Word, Excel, PowerPoint, MS Outlook (including scheduling).
