Inventory Lead

Business Overview

This is a busy, fast paced operation which offers many challenges and opportunities for the right person. This position is based at Boksburg, Gauteng.

Role Outline

To ensure that all procedures pertaining to all functions within the administration department are carried out with the utmost professionalism. Ensuring all financial functions within the depot are carried out and the client is billed correctly. To plan, co-ordinate, supervise and report upon the work activities of the inventory team, providing effective communication, leadership, motivation, training & development. Responsibility for maintaining and managing inventory integrity. Responsibility for managing and minimising DHL's contractual stock loss liabilities. To continuously strive to improve the physical inventory process. Maintenance Tool (training needed)

General Accountabilities

· Team Management

· Effective leadership and management of the operational and administrative teams

· Plan, manage and adjust staffing levels to meet operational requirements

· Direct the daily activity to ensure a safe, secure, clean and fair work environment for team members

· Deliver team member performance reviews, development and/or succession planning as appropriate

· Facilitate effective communication

· Ensure compliance to Standard Operating Procedures (SOP's)

· Ensure company policies are communicated, applied and enforced

· Work in collaboration with other DHL sites to maximise efficiencies and best practice

· Ensure accurate control of inventory up to and beyond the KPI levels expected by the customer and DHL

· Full responsibility of Stock take i.e. planning, preparation, physical counting of stock and manage all stock counts and audits of inventory

· Develop & maintain effective inventory process, incorporating warehouse management systems

· Produce accurate stock Key Performance Indicator reports, analyse and recommend changes to Standard Operating Procedures to enhance accuracy and operational effectiveness

· Consistently achieve established key performance indicators for productivity, accuracy and housekeeping.

· Put in place procedures to monitor and minimise stock losses

· Daily recons on storage types and ensure that inventory team meets daily targets

· Monitor all stock movements within warehouse and ensure report on issues

· Constant communication with operational team

· Train team members to ensure that inventory control procedures are fully implemented

· Implement procedures to maintain cycle counting and perpetual inventory

· Understand DHL's stock loss contractual liability and ensure any potential risk is effectively mitigated

· Produce timely and accurate management information & reports as required, to Senior Management on a daily, weekly / monthly basis

· Manage all disciplinary and grievance issues (complaints) in line with HR policy

· Manage and motivate inventory team - ensure adequate inventory team cover available across all operational shifts

· Budget Management

· Drive and develop team culture.

· Compliance with statutory and company policies and procedures

· To ensure stock protection is maintained.

· To ensure daily monitoring of stock procedures

· Team Building and Morale Management

· Responsibility for all issues relating to Health & Safety and the Environment.

· Liaise with clients on stock control issues

· Translate, Analyze and deliver customer needs through effective operations

· Ensure daily or weekly workload planning and volume forecasting routines are accomplishe

· Investigate all stock losses and adjustments

· Maintain appropriate information / reporting systems to monitor Depot performance on an ongoing basis

· Manage the PI process

· Assist in the preparation of and control of direct expenses budget by investigating variances with a focus on overtime and other variable costs (stock losses)

· Ensure accurate inventory administration of all aspects of the warehouse

· Organise and lead the focus on improved productivity levels

Qualifications

· Matric / Grade 12 Certificate

· Diploma in Inventory Management

· Degree or equivalent

·3 - 4 years experience

· Minimum of 1 year experience of team management

· Good analytical and numerical skills

· Customer Management at a senior level

· Experience change manager
