Job Description - Office Administrator

Our client is currently seeking a capable and experienced Office Administrator to manage the daily operations of their shared office space. The ideal candidate will possess strong skills in bookkeeping, administrative tasks, and facility management. They will be responsible for overseeing office operations, addressing building issues, supervising cleaning staff, and providing excellent customer service by handling phone calls and inquiries.

Key Responsibilities:

  • Conduct bookkeeping tasks, including invoicing, accounts receivable/payable, and financial record-keeping.
  • Manage administrative duties such as filing, data entry, and document organization.
  • Ensure the smooth functioning of the shared office space, maintaining cleanliness, organization, and upkeep.
  • Address building-related issues promptly and coordinate with building management or contractors for repairs and maintenance.
  • Supervise cleaning staff, schedule cleaning activities, and uphold cleanliness standards.
  • Act as the primary point of contact for phone calls, emails, and in-person inquiries, delivering friendly and efficient customer service.
  • Coordinate office events, meetings, and appointments as required.
  • Monitor office supplies inventory and place orders when necessary.
  • Assist with additional tasks and projects as assigned.

Qualifications:

  • Proven experience in office administration, bookkeeping, and facility management.
  • Strong organizational skills and the ability to multitask effectively.
  • Proficiency in bookkeeping software and MS Office Suite, particularly Excel.
  • Excellent communication and interpersonal abilities.
  • Capacity to work independently and take initiative in problem-solving.
  • Attention to detail and accuracy in all tasks.
  • Previous experience in a similar shared office environment preferred.
