Purpose
T o ensure the efficient, productive and profitable running of Front Office, Reservations, the Spa, Guest Relations, Concierge, and Housekeeping Departments and to deliver excellent guest service through setting departmental targets and objectives.
Duties and responsibilities
Management of the heads of department within the rooms division, with regards to performance management, discipline, coaching and development.
Ensure effective communication between the departments in the Rooms Division as well as between other departments on the property.
Ensure that all information from 360 Hub Support Services is cascaded down to all the employees reporting to the position.
Ensure that the Property Custodian is aware of incidents or changes on the property that might affect other parts of the company or other properties
Perform regular walkabouts of the property to ensure that all areas are up to required standards.
Deal with escalated guest complaints from the Rooms Division that the heads of department were unable to settle fully.
Ensure that back-of-house and front-of-house areas are of the same standard
Maintain the highest level of cleanliness and sanitation throughout all RD areas of responsibility
Oversee the overall operation of the RD storerooms as per company´s policies, including but not limited to rotation, preparation, distribution, and bookkeeping.
Responsible for the final delivery of all RD products in accordance with company´s standards.
Responsible for the overall RD policies and procedures pertain to employees, work manuals, sanitation requirements, consumption, costs, quality
Maintain proper consumption levels as per company policy.
Prepare proper forecasts and reach desired occupancies and revenues.
Maintain effective cost control in all areas of the RD department.
Perform other duties which are requested by the company
Identify customers’ needs and respond proactively to all their concerns
Evaluate public guest opinions through online portals such as Guestrevue and Trip Advisor
Investigate all RD guest complaints for the property and report to the Property Custodian
Initiate programs, policies and procedures to mitigate the possibility of further complaints with the focus on continuous improvement.
Ensure that all stores are managed, classified, labelled, secured and packed as per the set standards
Spot-check the stock takes of all departments in the Rooms Division to ensure that proper procedures are being followed
Ensure that Purchase Order procedures are followed – from quotes, authorisation and delivery, to payment.
Ensure that the headcounts within the division are always within optimal levels to ensure maximum productivity within the budget
Ensure that the correct recruitment process is followed for all new recruits within the division.
To hold regular on-the-job training and coaching sessions to ensure that staff perform their duties effectively and efficiently.
Conduct probationary and performance reviews timeously.
Review and prepare performance evaluations of all RD Staff
Accurately complete HR status forms and submit them before the deadline.
Ensure that the dress code procedures for the rooms division is in place and that the Heads of Department are keeping their employees neat and tidy.
To ensure that fair and equitable discipline is applied.
Manage staff files
Establish targets, KPI’s, schedules, policies, and procedures
Provide a two-way communication and nurture an ownership environment with emphasis in motivation and teamwork
Follow up on company´s policies, rules, regulations and procedures.
Responsible for the standards of service delivered to the guests
Perform Duty Management shifts and stand in for other managers as and when required, including but not limited to night shifts
Be available telephonically at all times within reason and have access to be able to read and respond to emails.
Qualifications, Experience and Competencies
Minimum diploma or degree in Hotel Management or related field
Minimum 5 years as a RD Manager in a similar sized property
Excellent knowledge of all health and safety regulations
Excellent knowledge of relevant Acts, policies, procedures.
Excellent knowledge of various computer software programs (MS Office, PMS (Apex/ Opera etc)
Knowledge of strategies to promote effective local, state, or national security operations for the protection of people, data, property, and institutions
Ability to spot and resolve problems efficiently
Mastery in delegating multiple tasks
Communication and leadership skills
Knowledge of business and management principles involved in planning, resource allocation, leadership, and coordination of people and resources.
Ability to meet financial targets
Up to date with latest trends and best practices
Ability to manage personnel
Guest oriented and service minded
Driver’s license with own reliable transport
Familiar with all duties and procedures in all departments of an Hot
Working conditions
Weekends, Sundays, and public holiday shifts
Possible night shifts
Physical requirements
Must be able to stand for long periods of time; must be able to climb stairs and hills, must be able to lift objects
