Job Description - Purchasing Manager and Cost Controller

Employer Description A busy 5* Hotel located in Pretoria.


Job Description Job Purpose: To manage and control all aspects of the Hotel's Purchasing and Stores Operations to the required standards within the agreed budgetary limits and parameters. Ensuring guest satisfaction and profit maximization in order to contribute to the achievement of the Company Business Goals. Main Functions: Attend 15 day / 30 day / Month End stock counts and perform random verification of quantities; Capture detailed stock count sheets for all outlets on materials control system on the day of the stock count; Investigate any irregularities identified, and action or provide recommendations; Submit final deviations to Executives and relevant HOD's for approval; Compile Monthly Cost of Sales Reports and month end stock journals for monthly financial reporting. Compile daily Flash Report for Food, Beverage and Housekeeping to report cost of sales percentage daily. Monitor, follow-up and resolve queries and complaints timeously; Check recipes, prices and cost on Micros and Materials Control on a regular basis to validate the integrity of the System; Validate reports by checking data against cost report and with stores reports; Compare actual results to theoretical to ensure that result is reasonable; Update recipes and menu items regularly to maintain relevance of current data and accuracy of results; Accurate and updated pricing data available at all times and to facilitate correct pricing structure at point of sale Identify opportunities ensure implementation of standardizing and consolidate products and services for the hotel. Manage, lead and train team, maintain smooth and professional working relationship with superiors, colleagues and staff. Administration and control commitment contracts, ensuring hotel adhere to brand requirements. Develop, lead and execute purchasing strategies. Track and report key functional metrics to reduce expenses and improve effectiveness. Seek and partner with reliable vendors and suppliers, negotiation strategies and close deals with optimal terms. Performs periodic site inspection visits to suppliers. Perform cost and scenario analysis, and benchmarking. Assess, manage and mitigate risks, applies cost conscientiousness. Monitor and forecast upcoming levels of demand and determine quantity and timing of deliveries. Keeps management informed as to the availability of supplies from the local market. Ensure that three quotations are obtained before the purchase of products. Survey the market regularly ensuring that the quality and price values are maintained. Action the daily market lists and keeps the Executive Chef and F&B Senior informed of shortfalls and alterations. Ensure compliances to all company Policies and Procedures and confidentiality of sensitive financial information. Handle all necessary documentation for importations, be familiar with the important regulations of South Africa. Responsible for keeping an up-to-date filing system at all times for referral purposes. Attend meetings relevant to job function. Reports to management on deficiencies and irregularities noted in the operation view of constantly improving the operations performance in general. Maintain relationships with suppliers, local and international, and with local authorities and ensure contract compliance. Monitoring of price levels and merchandise on a consistent basis and the recommendation on a purchasing strategy in this respect. Qualifications Grade 12/ Matric. Must have experience with sourcing and vendor management. BS degree in supply chain management, logistics or business administration would be an added advantage but not essential.


Skills Must have at least 5 years proven working experience in same position. Hospitality/Food and Beverage Purchasing and Cost Control experience required. Ability to gather and analyse data and to work with figures. Must have experience on both Micros and Materials Control Stock Management software.


Salary / Package R18,000 to R25,000 Negotiable
