Job Description - 1 X Regional Admin Manager : Pinetown KZN

To ensure Company Policies and procedures are adhered to at all times. To ensure smooth and accurate financial reporting. To provide support to staff on day-to-day functions, maintaining a close and professional relationship with all in the business. To support Operations ensuring effective and efficient planning. To be able to lead the administrative team in a professional manner

KEY WORK OUTPUTS & ACCOUNTABILITIES

COMPANY ACCOUNTING POLICIES

To ensure compliance with Company accounting policies, including:

  • Portfolio policies
  • Turnover calculations – verify & confirm i.e. jobs, product sales & credit notes
  • Depreciation policies
  • Capitalisation policies

COMPANY ADMINISTRATIVE PROCEDURES

To ensure compliance with Company administrative procedures, including:

  • Authority levels
  • Capital expenditure requests
  • Reporting procedures required by both UK and SA management
  • Employment and other staff documentation

DOCUMENTATION OF ACCOUNTING AND ADMINISTRATIVE POLICIES

In liaison with the RISA adm manager , to maintain standard divisional accounting and administrative policies which 

are properly documented. These should be represented by manuals, modules, memoranda, etc

MONITOR KEY DIVISIONAL / REGIONAL CRITERIA

To monitor at branch and regional level the following aspects and report to the Regional Business Manager 

and finance department

  • NIC including timeous processing of contracts, manual PI’s and losses
  • Leads recording and verification in conjunction with Contact Centre
  • Pricing
  • Job revenue including recording of jobs and timeous processing of invoices
  • Commission payments
  • CRC’s progress
  • Portfolio growth
  • State of Service
  • Productivity levels
  • Customer complaints including recording and timeous actioning
  • Recovery rates
  • Stock levels including the scrutiny of monthly stock sheets and balancing to the     

            Trading Account

  • Debtors Statistics – bad debt, doubtful debt, future doubtful debt, 90 days %, debtor 

              days, banking, legal ledger accounts

  • Credit note validation and timeous authorisation
  • Timeous banking of cash / cheques and receipt book verification
  • Expenditure levels
  • Incentive payments
  • Branch staffing and verification of annual, sick etc leave quarterly with branches
  • RBM to be advised of any anomalies, excessive sick leave etc 
  • Branch compliance with all Company procedures
  • RBM and Branch Manager expenses

ADMINISTRATIVE SYSTEMS

To make recommendations for the improvement / streamlining of administrative systems and assist the RISA Admin 

Manager in writing and implementing new policies and procedures

BUDGETING, FORECASTING AND PLANS

To assist the RBM with preparation for budgets, forecasts and plans

MONTHLY TRADING ACCOUNTS

  • To ensure the accuracy of the branch and regional monthly IDU first run queries
  • To report and investigate major variances for all branch locations

RBM OFFICE ADMINISTRATION

To be responsible for the RBM’s cost centre expenses where required i.e. purchase orders, cheques, petty cash, 

attendance register, vehicle records

SPECIAL PROJECTS

To carry out various projects required by management from time to time, including audit follow-ups, investigations, 

sales and service zones etc

AUTHORITY LEVELS

At the discretion of the RBM and DMA

TRAINING

Ensure that all existing and new branch Administration staff are adequately trained and assist with training of 

Branch Managers and Supervisors with respect to administration systems and procedures.

LIMITATIONS

You may not, without permission from the RBM:

  • Authorise credit notes
  • Accept termination of contracts
  • Write off bad debts

SKILLS & COMPETENCIES

  • Numerical acumen
  • Highly developed communication skills both verbal and written
  • Ability to lead, direct and supervise action plans
  • Excellent computer literacy skills
  • Xcel/ PP/Word/Google, Pivots, VLookup
  • Ability to work with large volumes of figures and spreadsheets

QUALIFICATIONS & EXPERIENCE

  • Matric
  • Tertiary qualification an advantage
  • Financial Diploma an advantage
  • Unendorsed driver’s licence
  • Minimum of 5 yrs in an Administrative managerial or similar role
