Job Description - ABA Admin Support (US Healthcare) - EST Hours (Remote)

ISTA Personnel Solutions is a dynamic and fast-growing BPO company. We are not a recruitment agency - we operate as a dedicated extension of our clients’ teams, delivering high-quality service with precision, efficiency, and a personal touch.

Join our team as an ABA Admin Support (US Healthcare), supporting therapists providing ABA therapy for children with autism in the clinic and at home. You will manage scheduling and follow-ups, respond to email queries, and escalate issues when necessary, ensuring smooth operations and positive therapist experiences.

PLEASE NOTE:

  • Working Hours: Monday – Friday | 9:00 AM – 6:00 PM EST (4:00 PM – 01:00 AM South African time – subject to daylight savings).
  • Public Holidays: This role requires working on both South African and U.S. public holidays (compensation for SA public holidays in accordance with the BCEA).
  • Internet Requirements: A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and wired Ethernet capability is mandatory. Applicants without a fixed fibre line cannot be considered.
  • Power Backup: Reliable backup required to manage load shedding or outages. Applicants without a power backup cannot be considered.
  • Work Environment: Fully remote.

Job Responsibilities (not limited to):

  • Monitor and respond promptly to therapists’ email queries.
  • Follow up with therapists via calls or messages regarding schedule conflicts, missing timesheets, or clarifications.
  • Update, cancel, or reschedule sessions and correct timesheet entries as needed.
  • Identify frustrated or high-risk therapists and escalate to onshore scheduling management when appropriate.
  • Draft clear, polite, and tactful communications.
  • Maintain accurate records of scheduling activities and follow-ups.
  • Industry Experience (Required):
    • Experience in ABA therapy, scheduling support, or administrative roles.
    • CentralReach experience is a strong plus.
  • Soft Skills:
    • Excellent verbal and written English communication.
    • Calm, collaborative, and able to handle sensitive situations professionally.
    • High-level reasoning and attention to nuance — able to read tone and anticipate issues.
  • Technical Skills:
    • Basic computer skills, including MS Office and Outlook.
    • Comfortable navigating scheduling systems and updating records accurately.
