Job Description - Admin & Personal Assistant

As an administrator, you will be responsible for helping the smooth running of the business and homeschool by ensuring filing and documentation is kept up to date. Duties will include using computer software and understanding the requirements of the branding business.  You will be required to be customer -facing - via email, phone, or greeting visitors. You will be working around children and animals and need to have patience, understanding and empathy in theses aspects.  You need to be focused, organised and meticulous. This position is a once a week position, full day from 8am to 5pm or Two half days from 8am to 13:00.  This is a trial position and should it be successful, more days will be added to the weekly requirements. You need to live in Kosmos or Hartbeespoort, near Leloko Lifestyle Estate. You need to have your own transport. This position cannot be done from home and you will be required to come into the office. Additional income can be earned if the person is a qualified Graphic Designer who can convert to curves.

 

The job role of an administrator involves ( but is not limited to) the following duties,:  

  • Preparing, organizing and storing information in paper and digital form
  • Dealing with queries on the phone and by email
  • Greeting visitors at the front door / reception
  • Managing diaries, scheduling meetings and booking rooms
  • Arranging travel and accommodation
  • Arranging post and deliveries
  • Checking stock and packaging items.
  • Taking minutes at meetings
  • Typing up letters and reports for business and the Department of Education
  • Assisting with weekly adverts and posting them  
  • Updating computer records using a database
  • Printing and photocopying
  • Ordering office supplies
  • Maintaining office systems
  • Liaising with suppliers and contractors
  • Liaising with staff in other departments 
  • Making lunch, snacks or tea when necessary. 


Requirements

SKILLS:
EXCELLENT VERBAL COMMUNICATION SKILLS
Telephone skills ( Able to pick up a phone and call suppliers and clients) 
Text & Whatsapp Writing Skills  - Respond to clients in a professionally and Empathetic manner.
Excellent grasp of the English language, Ability to speak read and write Afrikaans.
Ability to communicate on all levels including children. 
Well mannered and kind 
Able to work well with others
Sensitivity and understanding
Customer service skills

PERSONAL SKILLS
Be thorough and pay attention to detail
Able to work on your own
Flexible and open to change

SOFTWARE SKILLS
Able to use a computer and the main software packages competently including:

  • GMAIL
  • ZOHO
  • EXCEL & GOOGLE SHEETS
  • WORD & GOOGLE DOCS
  • PUBLISHER 
  • PHOTOSHOP 
  • CORAL DRAW 
  • SOCIAL MEDIA PLATFORMS:
    • INSTAGRAM 
    • FACEBOOK
