Job Description - HR Administrator/ Office Manager

  • Manage the recruitment and selection process - sourcing candidates, posting job ads, scheduling interviews and assisting with running interviews, and managing candidate databases 
  • Administer offer letters and employment contracts for permanent, independent contractors and fixed term contractors 
  • Manage all administrative portals around employee documentation 
  • Handle administrative logistics around onboarding new employees - office tags, update employee lists, update organisational structure, ensure desk is ready, add employee to relevant team meetings, add employee to all communication platforms 
  • Ensure team managers are aware of new joiners starting - setup onboarding meetings with new team managers 
  • Manage leave system for all staff members- communicate with finance team for paying out leave 
  • Assist with offboarding checklist for staff who are exiting- ensure staff are removed off platforms, communicate with finance team for leave to be paid out, set up exit interview meetings, ensure keys are received
  • Manage list for employee reviews- set up meetings for employee review sessions and assist with setting up 3 month reviews and annual reviews 
  • Manage list for salary reviews and increases as well as benchmarking 
  • Ensure employees company folders are up to date and all documents are saved 
  • Share documents with team members on disciplinaries and work alongside managers to set up appropriate meetings 
  • Manage communications from line managers on employees needing performance management and disciplinary actions 
  • Manage office helpers- maintain timesheets for finance to make sure monthly payments are made 
  • Manage and maintain medical aid processes for staff 
  • Support current and future business needs through the development, engagement, motivation, and preservation of human capital
  • Ensure legal compliance throughout human resource management
  • Bridge management and employee relations by addressing demands, grievances, or other issues

Requirements

  • Proven working experience as an HR Administrator or Office Manager
  • People-oriented and results-driven
  • Excellent organisational skills 
  • Demonstrable experience with human resources metrics
  • Knowledge of HR systems and databases
  • Excellent leadership and people skills 
  • Competence to build and effectively manage interpersonal relationships at all levels of the company
  • In-depth knowledge of HR best practices
  • Degree in Human Resources or related field (preferred)
