Job Description - HR Advisor

To provide comprehensive HR administrative and operational support within a fast-pace pharmaceutical environment.  The HR Advisor ensures effective HR processes, compliance with South African labor legislation, and supports initiatives that enhance talent management, organizational culture and employee engagement.

Recruitment & Selection

  • Support the recruitment process for allocated roles, including preparation of recruitment documents, drafting and placement of job adverts, coordination of interview schedules and testing, liaison with candidates and recruitment agencies, conduct telephone screens and interviews with hiring managers.
  • Continually review our recruitment processes to ensure they are effective and suggest process improvements where required.
  • Participate in and provide support for the design, development, and implementation of overall recruiting strategy.
  • Support the implementation of projects within the business, such as graduate recruitment, social media implementation, employer branding, diversity and inclusion best practice. 
  • Prepare onboarding documentation and facilitate new employee orientation.

 

HR Administration

  • Maintain accurate employee records and HR databases.
  • Assist with employment contracts, IT equipment and HR documentation.
  • Assist with monthly HR reports, leave records, probation tracking and personnel file audits.
  • Promote equality and diversity as part of the culture of the organization in all actions and activities. 
  • Establish, develop and maintain effective and credible working relationships throughout organization. 
  • Demonstrate commitment and corporate focus. 
  • Maintain professional HR integrity and confidentially ensuing that confidentiality and data protection requirements are maintained and adhered to.

Employee Relations

  • Support Senior HR Business Partner with basic ER matters in alignment with SA labor laws (BCEA, LRA, EEA).
  • Schedule and document consultations and counselling sessions.
  • Promote fair and consistent application of company policies.
  • Keep up to date with employment legislation and good practice and recommend improvements to the Senior HR Business Partner.

 Compliance Requirements

  • Ensure adherence to pharmaceutical industry compliance standards such as:

o     Health & Safety protocols

o     GMP requirements

o     Support HR compliance during audits

  • Maintain confidentiality and data protection as required by POPIA.

 

Training & Development

  • Coordinate training schedules, record attendance and maintain training matrices.
  • Track statutory and compliance training requirements.
  • Support performance management processes and probation reviews.

Employee Engagement & Culture

  • Assist in organizing wellness days.
  • Participate in culture-building initiatives and align with pharmaceutical operations.

 

Payroll Processing

  • Support the Senior HR Business Partner with monthly payroll processing.
  • Support with changes to employee details in line with payroll cut-off.
  • Leaver's processing, to include acknowledgement letters, final salary calculations and exit interviews.

 

Group HR

  • Support the HR Business Partners when required with change management processes such as consultation handling, restructure, redundancy, change of terms, etc.
  • Support manager to use the performance assessment system to identify development needs and priorities.
  • Assist with Group HR Projects as and when requested.
  • Any other ad hoc requests.

EDUCATION

  • Relevant HR based qualification.
  • Minimum 3 years’ experience in human resource role within pharmaceutical environment strongly preferred.

ESSENTIAL

  • Proficient in Microsoft Office suite (Excel, Word, etc.)
  • Valid driver’s license with own vehicle.
  • Demonstrated exposure to recruitment, HR administration, HR reporting and basic employee relations.
  • Experience working in a regulated, audit-intensive environment is an advantage.
  • Solid HR administration and HRIS management skills.
  • Ability to prepare HR documentation and maintain HR records accurately.
