Job Description - Office Coordinator

Are you a highly organised administrator with a passion for people and a knack for keeping things running like clockwork? A well-established company in the training and transport sector is searching for a dynamic Administrator/Office Coordinator to join its vibrant team in Stellenbosch. This isn't just a job; it's an opportunity to be at the heart of a great team, contributing to a supportive and energetic environment.

Be the first point of contact for visitors and a crucial support system for the Parts, Service, and Engineering departments. This full-time, permanent role offers the chance to be a key player in a company that values its people and is committed to excellence. Working hours 8:30am - 4:30pm.


Responsibilities:
  • First Point of Contact: Provide exceptional customer service as the friendly face of the company, welcoming and directing visitors with a positive attitude.

  • Operational Excellence: Support the Maintenance and Logistics Managers with essential administrative tasks, ensuring the smooth flow of daily operations.

  • Customer & Vendor Relations: Build and maintain strong relationships with customers, suppliers, and service providers, handling communications and resolving queries with professionalism.

  • Administrative Backbone: From managing travel arrangements and processing expenses to assisting with maintenance scheduling and preparing documentation for SACAA, you’ll be the go-to person for a wide range of tasks.

  • Creative Support: Get involved with departmental marketing efforts, assisting with social media content, and coordinating promotional events and merchandise.




Requirements

  • Experience: 2+ years' in a similar administrative role is a must. Experience in the aviation or transport industry is a definite plus.
  • Bilingual: Fluent in English and Afrikaans 
  • Attitude: The company is looking for a team player with a "nothing is too big or too small" mindset, who is adaptable, proactive, and thrives in a vibrant environment.
  • Customer Focus: Excellent communication and interpersonal skills are non-negotiable. The successful candidate must be someone who genuinely enjoys helping people and solving problems.
  • Vehicle: A valid driver’s license and your own reliable vehicle are essential for this role.
  • Tech Savvy: Proficiency in Microsoft and Google suites is required
  • Organised and Efficient
  • The role requires the ability to lift heavy objects and perform physical tasks in a warehouse setting. The candidate should also be prepared to offer weekend or after-hours support in response to urgent operational demands.
  • Enjoy helping people and solving problems
