Job Description - Operations Administrator

Job Title: Operations Administrator


Reporting to: Regional Director - Phalaborwa / General Manager 


Location: Phalaborwa, Limpopo



Our client is seeking a competent and detail-oriented Operations Administrator to provide administrative and operational support to ensure the smooth functioning of daily operations at site level.



The successful candidate will play a key role in supporting operational efficiency through effective administration, coordination, record-keeping, and follow-up of operational activities in a remote environment.



Key Responsibilities



  • Handling daily operational administration processes, including action item tracking and follow-up

  • Stock, spares and procurement tracking, including inventory in/out control and utilisation recording

  • Administration of spares control, installations and asset usage

  • Monitoring and administering contractor activities, including scope verification and tracking work completed against agreements

  • Maintaining project implementation open-item lists and tracking outstanding actions

  • Scheduling meetings, preparing minutes and maintaining decision logs

  • Acting as the point of contact for incoming invoices, including logging, approval tracking, forwarding to finance, payment follow-up and record-keeping of POPs

  • Administration and record-keeping for shared stores in line with agreed procedures

  • Maintaining registers for procurements and related payments on behalf of the company

  • Start-up and ongoing maintenance of the company asset register

  • Implementation and maintenance of additional administrative procedures as required



Minimum Requirements



  • Matric Certificate (Grade 12) or equivalent

  • Minimum of 3–5 years’ experience in an administrative or operations support role

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook)

  • Orbfusion and SharePoint experience (essential)

  • Strong written and verbal communication skills in English
