Job Description - Operations Administrator

Innovata Pharmaceuticals (Pty) Ltd is looking for an Operations Administrator to join our team. This position is based in Ormonde, Johannesburg. 



A proudly South African company, Innovata is a level 1 BBBEE company that manufactures a range of carefully selected essential medicines covering all major therapeutic classes.

Job Overview:




Purpose of the job:


Supports day to day operational functions within a pharmaceutical environment. This role ensures compliance with regulatory standards, maintains accurate documentation, coordinates cross functional activities, and assists in streamlining operational processes efficiently.



Key Responsibilities:





Purchasing


Prepare purchase orders and send copies to suppliers and to departments originating requests.


Facilitate the import/export of goods by arranging transportation, preparing documentation, and tracking shipments.


Check shipments when they arrive to ensure that orders are filled correctly and that goods meet specifications.


Identify and report inefficiencies.


 



Administration


Respond to customer and supplier inquiries about order status, changes, or cancellations.


Contact suppliers to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems.


Prepare, maintain, and review purchasing files, reports, and price lists.


Track the status of requisitions, contracts, and orders and escalate risks or delays where necessary.


Prepare daily weekly and monthly reports for management as required.


Support internal and external audits.


Serve as a crucial point of communication between the departments for cross-functional coordination. Organise meetings, minutetaking, action tracking, and followup.


 



Inventory


Monitoring current inventory, ordering supplies, and scheduling deliveries to ensure that the company has enough necessary materials or equipment.


Perform buying duties when necessary.


Track orders and ensure timely delivery.


Follow up with suppliers, as needed, to confirm or change orders.


Liaise with relevant staff to ensure all products arrive in good condition.


Monitor in-house inventory movement and complete inventory transfer forms for bookkeeping purposes.


Maintain knowledge of all organisational and governmental rules and regulations affecting purchases and communicate this to colleagues and vendors.


Partake in stock take as and when required.


 



Production/Receiving


GRV goods and ensure system is up to date with recorded stock.


Manufacturing of goods in Pastel system.


Run reports on stock holding and check accuracy of respective warehouses.


Ensure system entries is up to date and accurate with BOMS and manufacturing process.


 


Desired skills, experience and qualifications:



  • Diploma or Degree in Operations Management, Supply Chain, Business Administration, or related field.

  • 2–4 years’ experience in administrative or operational roles.

  • Strong organisational and administrative skills.

  • Excellent diligence and accuracy.

  • Proficiency in MS Office suite and SAGE.

  • Effective communication skills, both written and verbal.

  • Ability to prioritise, multitask and work independently.

  • Must be able to work under pressure.

  • Accountability and dependability.

  • Demonstrate versatility, grasp & learn new concepts, developments & technologies quickly.

  • Adapt into a culturally diverse work environment.
