Job Purpose
Complete daily and monthly payroll processing and resolve queries accurately and timeously. Make sure all input received by the Payroll Administrators are captured and processed timeously and ensure that all checks and balances are correct.
Responsibilities
Financial Management and Control
Work within established systems to deliver prescribed outcomes for a designated area of financial control. Assist the manager in reconciling and payment of Annual Management Bonuses and Commission Earner Bonuses. Ensure that all the necessary checks (including negative balances, termination, new starters etc.) are conducted before the monthly payroll is finalised. Assist with AVS bank verification as well as verification of forensic reports.
Payroll Administration
Responsible for compiling the monthly third party payment schedules for the group.
Control and reconcile salary variable payments i.e.(Overtime, Incentive and Commission). Responsible for printing the net payment listing for monthly EFT’s and create and upload bank files. Ensure SARS submissions and queries as well as EMP 201 queries and submission are completed, and ensure COIDA/WCA returns and IT88 reconciliations and provide proof of payment for Discovery and Smart Funder.
Operational Compliance
Develop knowledge and understanding of the organization's policies and procedures and of relevant regulatory codes and codes of conduct to ensure that payroll information is accurately maintained and actioned in accordance with the required standards and procedures. Ensure that payroll input complies with company policy and SARS legislation. Obtain authorization from the manager for any exceptions from mandatory procedure.
Insights and Reporting
Prepare and coordinate the completion of various reports and be responsible for compiling the monthly variance threshold reports, BBBEE reporting to relevant stakeholders in the business and statutory reporting for STAS SA.
Performance Management
Respond to personal objectives and use performance management systems to improve personal performance. Monitor the performance of the team and allocate input and work to payroll administrators and supervise monthly payroll roll over and recalculation of payrolls by payroll administrators. Review completion and take appropriate corrective action to ensure timeliness and quality; contribute to formal individual performance management and appraisal.
Internal Client Management
Help manage internal clients/employees by carrying out standard activities and providing support to others. Resolve payroll queries accurately and timeously on a daily basis and ensure accurate turnaround time and customer satisfaction to all employees.
Continuous Improvement
Contribute to reviewing existing operations in own area of work and generate new ideas to assist in identifying continuous improvements in Payroll.
Data Management
Use data management systems to deliver prescribed outcomes. Maintain employee data accurately and timeously on a daily basis. Responsible for accurate record keeping of payroll data on a monthly basis.
Document Management
Create a local document management system for an office or department. File remuneration lists for auditing purposes.
Building Capability
Work within existing development framework to build own capabilities. Supervise and develop payroll administrators and provide specialized training or coaching to others in area of expertise.
Personal Capability Building
Develop own capabilities by participating in assessment and development planning activities as well as formal and informal training and coaching; gain or maintain external professional accreditation where relevant to improve performance and fulfill personal potential. Ensure up to date knowledge on legislative changes relating to Payroll and maintain an understanding relevant technology and industry best practices through ongoing education, attending conferences, and reading specialist media.
Education
Grade 12/ SAQA Accredited Equivalent (Essential); Payroll/Finance related qualification (diploma/certificate) (Essential); Relevant diploma or degree in Payroll/Tax/Finance or HR (Advantageous); SAIT affiliation (Essential)
Experience
3 or more years Payroll administration experience (Essential). Experience of general supervision of more junior colleagues (7 to 12 months)
