Job Description - Procurement & Logistics Administrator

We’re looking for a Procurement & Logistics
Administrator who can bring organisation, accuracy and energy to a
fast-moving supply chain environment.

This is more than a traditional admin role. You’ll be at the
centre of procurement, stock, logistics, reporting and business systems,
helping ensure the right products arrive at the right place, at the right time
and that management has the right data to make smart decisions.

What You’ll Be Responsible For

Procurement

  • Raise,
    issue and track purchase orders for raw materials, packaging and
    processing consumables.

  • Ensure
    raw materials are procured according to forecast, budget and production
    requirements.

  • Assist
    with sourcing and evaluating new suppliers.

  • Liaise
    with suppliers and growers regarding pricing, availability and delivery
    schedules.

  • Compare
    supplier and freight costs and identify opportunities to save money.

  • Maintain
    the approved supplier database and records.

Inventory & Stock Control

  • Monitor
    packaging and consumable stock levels and identify upcoming shortages.

  • Keep
    procurement and inventory records accurate and up to date.

  • Track
    stock integrity, shelf life and stock variances.

  • Help
    ensure warehouse targets and good warehouse practices are maintained.

Logistics

  • Coordinate
    inbound and outbound shipments.

  • Schedule
    transporters, freight forwarders and container bookings.

  • Track
    shipments and proactively communicate delays or potential problems.

  • Assist
    with customs clearance and cross-border logistics.

  • Keep
    freight costs within agreed targets.

Documentation & Compliance

  • Prepare
    and check export and shipping documentation, including:

    • Invoices
    • Packing
      lists

    • Certificates
      of Origin

    • Phytosanitary
      certificates

  • Keep
    procurement and logistics records organised, accurate and audit-ready.

  • Ensure
    relevant statutory and industry reporting requirements are maintained.

Business Systems & Reporting

  • Ensure
    operational, procurement, sales and financial data is accurate and
    available when needed.

  • Maintain
    and improve the CustomApp data ecosystem.

  • Ensure
    business information is captured correctly and stored securely.

  • Produce
    accurate reports for Directors and senior management.

  • Help
    turn data into meaningful information that supports faster, smarter
    business decisions.

  • Report
    monthly on material budget overs and unders.

Finance & Budgets

  • Assist
    with budgets relating to Cost of Sales, transport, consumables and central
    overheads.

  • Help
    monitor expenditure against budget.

  • Ensure
    delivery notes, goods-received notes and supplier invoices are accurately
    reconciled with Finance.

  • Identify potential cost-saving opportunities
    across procurement and logistics.



Requirements

Essential:

  • Matric
    / Grade 12.
  • At
    least 2 years' experience in procurement, logistics, supply chain
    administration or a similar role.
  • At
    least 2 years' experience in business data management and analysis.
  • Strong
    Microsoft Excel skills.
  • Excellent
    attention to detail and record-keeping skills.
  • Strong
    organisational and multitasking abilities.
  • Confident
    communication skills when dealing with suppliers, transporters and
    internal teams.
  • A
    proactive, problem-solving attitude.
  • Comfortable
    learning and working with ERP, inventory and business systems.
  • Experience
    using AI tools.

Advantageous:

  • Diploma
    or qualification in Supply Chain, Logistics or Procurement.
  • Experience
    in food processing, agriculture or export environments.
  • Knowledge
    of export documentation and customs processes.
  • Experience
    working with stock/inventory management systems.

A Few More Things

  • A valid
    driver's licence and own transport are preferred.
  • You
    should be willing to work occasional extended hours when production or
    shipment deadlines require it.
  • You'll
    work closely with Production, Finance, Warehouse/Stores, Sales,
    Directors and the General Manager, as well as external suppliers,
    growers, transporters, freight forwarders, customs agents and software
    providers.
