Job Description - Property Administrator

The main purpose of this position is to handle the full property administration function, as follows:

Billings
  • MDA
    – Pull reports, upload and download budgets and forecasts, tenancy schedules,
    rent rolls, tenant transaction history, ect. Tenancy schedules are saved
    monthly for the annual audit.

  • MDA
    – Back -up for loading leases and uploading utility files, run invoices, do
    tenant account adjustments, etc.(Back -up for leasing administrator and debtors
    administrator).

  • Update
    prop -share schedules monthly on excel with tenant movement and annually with
    council and supplier rates, refuse and insurance adjustments. Create forms for
    leasing and debtors to load changes per tenant with the annual adjustments.

  • Do
    monthly excel Tenancy Schedule for Ampacity highlighting tenant movement and
    fixed charges.

  • Assist
    with compiling all information for annual audits.

Legals
  • Do
    monthly recons for all legal tenant accounts on excel when billing is stopped
    at lease cancellation. This is used for updated judgement applications. Include
    TI and commissions amortised amounts that can be claimed back.

  • Keep
    legal fee recons updated for all active legal cases and compile legal invoices
    for approval.

  • Compile
    write -off motivations.

  • Request
    monthly reports from Attorneys and Leasing for the management packs.

Tenant Correspondence
  • E -mail
    general correspondence to tenants – eg – power outages, water outages,
    maintenance taking place, basement washing, parking issues, ect. PA will have
    to pull tenant contact list from MDA, sort and remove vacated or legal tenants,
    monitor returned mails and follow up with tenant on correct contact details.
    Update MDA with correct contact details.

  • Assist
    with following up on outstanding leases.

  • Do
    the parking allocations for Facilities to hand over with premises handovers and
    assist in resolving tenant parking disputes and issues. Keep parking allocation
    schedules updated with all tenant movements.

Reporting
  • Assist
    with compiling monthly reports for Exco Meetings.

  • Assist
    with compiling and updating leasing and facilities reports.

Leasing
  • Ensure
    original documents are signed correctly and saved in the relevant folder on the
    cloud.

  • Assist
    with general leasing processes and be a back -up for the lease administrator to
    type leases and addendums, load on MDA and follow up on outstanding documentation.


Requirements

  • Matric
  • 3 -5 years experience as a Property/Leasing Administrator within the Commercial/Retail property industry (non -negotiable).
