Property Management Coordinator

Playing a vital role in client and tenant engagement, this position focuses on building strong relationships, facilitating property management operations, and maintaining clear communication. The successful candidate will oversee day-to-day tenant and owner queries while driving efficient administrative workflow.

Key Responsibilities

• Handle client inquiries, conduct prospecting calls, and ensure prompt follow-up with prospective tenants.
  

• Serve as the primary point of contact for day-to-day tenant and landlord communication via telephone, email, and WhatsApp.
  

• Draft, update, and manage tenant and landlord rental agreements, including contract renewals.
  

• Maintain complete and accurate electronic and physical filing records for tenants, landlords, and properties.
  

• Record, process, and update documentation regarding rental payments.
  

• Create and manage property advertisements on online portals and coordinate property viewings.
  

• Coordinate property maintenance activities, liaise with contractors, and verify task completion.
  

• Organize and file property levies and rates in both physical and electronic formats.
  

• Communicate with the City of Joburg, Homeowners Associations, and Body Corporates as required.
  

Essential Requirements

• Confident and professional telephone manner with strong communication skills.
  

• Proficient email and computer skills with exceptional attention to detail and record-keeping accuracy.
  

• Highly organized, proactive approach with the ability to exercise initiative and perform effectively under pressure.
  

• Energetic, positive attitude and a willingness to learn.
  

• Prior property management or property administration experience.
