Job Description - Property Portfolio Manager (Portuguese Speaking)

Position is to be based in Angola

To manage a building/cluster of
buildings by optimizing the building's income stream by establishing and
maintaining mutually beneficial relationships with tenants, manage and control
personnel, service contractors, repairs, revamps, tenant installations, inspections,
and general building administration. To contribute towards the development and
training of staff within the company. 

 

Property Management

  • Assist with specifications and finalization of
    service contracts according to needs in conjunction with Facilities
    Consultant

  • Manage service contractors and liaise with
    management of contractors

Inspections

  • Manage inspection programme with Operations
    Manager

  • Inspections with Facilities Specialist centre

Tenant Installations

  • Oversee tenant installation processes

Maintenance & Repairs

  • Oversee running and planned maintenance

OHS Act & other statutory
requirements

  • Health & Safety meetings
  • Monitor OHS Act compliance
  • Monitor compliance to other relevant statutory
    requirements

Recordkeeping & Administration

  • Updating of relevant data in BIMS
  • Monitoring maintenance of BIMS data by
    Operations Managers & consultants

  • Parking audit
  • Monitoring of insurance claims
  • CAD - new requests, changes, updates

Reporting & Management
Meetings (where required)

  • Prepare management pack, in conjunction with
    Finance

  • Co -ordinate, arrange & attend management
    meetings - act as chair where possible

Utility Control / Management

  • Basic knowledge on dealing with external
    service providers

Budgeting: Income & Expense
Control

Budgeting

  • Provide inputs into income & expense
    budgets based on knowledge of the property market in the cluster

  • Manage income & expenses

Expenses

  • Approval & Managing internal orders
  • Utility management - in conjunction with
    technical consultants

  • Evaluate municipal accounts & implement
    corrective measures

  • Monitoring of company expenses & implement
    appropriate cost reduction (example telephone accounts)

Income

  • Monitor actual income vs. budget
  • Evaluate outstanding rent -roll - timeous
    follow -up & corrective measures

  • Involvement & monitoring of legal cases
  • Vacant space strategy in conjunction with
    Regional Manager

  • Confirm validity of transactions for
    commission claims

Marketing of Space & Renewals

  • Ensure correctness of vacancy (stock) list and
    inform Finance & Operations Managers.

  • Marketing plan, based on vacancy list,
    including determining tenant mix

  • Lease Negotiations (according to approval
    framework & mandate)

  • Draft motivation for approvals of deals
  • Communication with brokers, marketing
    programme

  • Sustainable income stream secured, whilst
    taking account of the viability of tenant (trade densities) and required
    tenant mix, as well as profile and image of building

  • Retain or replace tenant in time at optimal
    rate

  • Contract administration accurate, complete and
    on time

  • Tenants fully installed and in time as per
    specifications

  • Tenants fully installed and in time as per
    specifications within agreed time frame

  • Attract and approve targeted tenants
  • Vacant space let at optimal rate, whist taking
    account of sustainability of the income stream

  • Monitoring of outstanding renewals
  • Support to assistant managers ito higher level
    or complex deals & negotiations

 

Liaison (tenants, clients,
brokers, public & community)

Tenants

  • Monitoring of Call Logging system - logging,
    follow -up, reports, trends, query resolution

  • Facilitate interaction between tenants &
    other company divisions

  • Tenant visitation programme (frequency lower
    in commercial)

  • Tenants meet required standards and
    contractual obligations with reference to user clauses

External Clients

  • Feedback to external clients - including
    issues identified & recommendation of corrective measures.

  • Implementation of instructions from KAM (Key
    Account Management) regarding client requirements

Brokers

  • Broker queries, assistance with deals

People Management

  • Performance management
  • Training and development


Requirements

Position is to be based in Angola

At least 5 years’ experience in
the property management industry

Tertiary qualification preferable
