Our client is an established, high-growth offshore professional services and legal organization focused on connecting North American law firms with top-tier international talent.
The organization combines specialized legal solutions with modern operational frameworks to support continued global expansion, client satisfaction, and operational efficiency.
They are looking for a highly strategic, hands-on Chief of Staff who can independently drive executive initiatives across strategic planning, operational tracking, cross-functional project management, executive communications, and process optimization.
This is an execution-heavy executive role for someone who enjoys being close to the work, taking ownership of high-stakes projects, identifying operational bottlenecks, and turning high-level founder vision into completed business initiatives.
This is not a passive administrative or EA position. The successful candidate will be expected to contribute across the full operational workflow, from executive alignment and KPI tracking through project management, meeting cadence, SOP creation, and cross-departmental accountability.
The Chief of Staff will serve as the primary operational force multiplier and strategic partner to the Founder & CEO.
Approximately 75–80% of the role will focus on direct operational leadership, project management, and cross-functional execution, with approximately 20–25% focused on executive administration, board reporting, meeting cadences, and SOP documentation.
The ideal candidate can take a strategic concept, expansion mandate, or operational challenge from the CEO and independently build, coordinate, and execute the solution across teams.
This includes:
Translating executive vision into actionable operational roadmaps
Managing complex cross-functional projects across operations, recruitment, and client success
Directing executive meeting cadences and leadership accountability
Tracking, monitoring, and optimizing departmental KPIs
Identifying operational friction and building standard operating procedures (SOPs)
Preparing executive reports, board materials, and strategic documentation
The successful candidate should be comfortable working independently, making executive recommendations, solving complex business problems, and driving initiatives forward without needing continuous oversight.
Partner directly with the Founder & CEO to manage executive priorities, strategic initiatives, and organizational goals.
Serve as an operational bridge between the CEO and department leads (Operations, Talent Acquisition, Client Success).
Ensure strategic alignment across distributed international teams.
Prepare board presentations, executive updates, and high-level strategy documentation.
Own assigned executive-level projects from initial brief through verified completion.
Break large strategic initiatives into milestones, timelines, and measurable deliverables.
Keep project status, blockers, owners, and deadlines current in project management systems.
Identify risks or operational delays early and implement effective solutions.
Maintain and monitor company-wide dashboard systems to track performance metrics across all departments.
Hold department heads accountable for established SLAs, project deadlines, and operational targets.
Facilitate executive leadership meetings, set structured agendas, document action items, and follow up on commitments.
Audit existing business workflows to identify bottlenecks, redundancies, and inefficiencies.
Build, refine, and maintain comprehensive Standard Operating Procedures (SOPs) across the organization.
Ensure operational documentation remains current, accessible, and structured for organizational scaling.
5+ years of progressive experience in management consulting, corporate strategy, operations management, or a Chief of Staff role in a high-growth startup or professional services agency.
Demonstrated track record of leading complex, multi-departmental projects from concept to completion.
Strong background in agency, B2B professional services, or remote workforce operations.
Advanced project management skills using tools like Asana, ClickUp, Notion, or Jira.
Exceptional data management, spreadsheet, and dashboard tracking skills.
C-level written and spoken English communication skills.

The ideal candidate is an executive-level operator, not simply an administrative manager. You thrive when given high-level directives and enjoy transforming ambiguous founder ideas into structured, measurable operational realities.
You possess the diplomatic firmness required to hold department leads accountable, the analytical skill to monitor company-wide KPIs, and the organizational discipline to manage complex projects through to completion. You are as comfortable building a high-level operational framework as you are auditing weekly team deliverables or refining executive SOPs.
This position serves as the central operational hub connecting executive strategy with daily execution. By managing cross-departmental alignment, enforcing project accountability, and optimizing operational workflows, the Chief of Staff frees the Founder & CEO to focus on macro growth while ensuring the organization scales smoothly, predictably, and efficiently.
