Job Description - Construction Project Coordinator


This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Construction Project Coordinator based in South Africa.


We are seeking a highly organized Construction Project Coordinator to support the successful delivery of commercial construction projects from pre-construction through completion. In this role, you will oversee critical administrative functions including contract management, AIA billing, bonding processes, and project documentation while ensuring projects remain compliant and on schedule. Working closely with project managers, contractors, vendors, municipalities, and clients, you will help maintain smooth project operations across multiple active initiatives. This position offers the opportunity to play a central role in construction project coordination within a collaborative, fast-paced environment. It is ideal for a detail-oriented professional who thrives on organization, process improvement, and delivering operational excellence.


Accountabilities


The Construction Project Coordinator will ensure efficient project administration by managing contracts, billing, documentation, and communication across multiple commercial construction projects while supporting timely and compliant project execution.



  • Coordinate commercial construction contracts throughout the project lifecycle, ensuring documentation remains accurate and compliant.

  • Prepare, manage, and submit bid bonds, performance bonds, maintenance bonds, and related bonding documentation.

  • Process AIA billing applications, maintain Schedule of Values (SOV), track retainage, and monitor payment milestones.

  • Maintain project records, schedules, documentation, and reporting within Buildertrend or comparable project management systems.

  • Coordinate communication between project managers, contractors, municipalities, vendors, clients, and other stakeholders.

  • Support pre-construction activities, permitting, contract administration, and ongoing project coordination.

  • Monitor project deadlines, identify potential billing or documentation issues, and proactively resolve operational challenges.

  • Participate in project meetings and provide administrative support to ensure smooth project delivery.


Requirements


The ideal candidate combines commercial construction administration experience with excellent organizational skills and the ability to manage multiple projects simultaneously in a remote work environment.



  • Proven experience supporting commercial construction projects.

  • Hands-on experience with AIA billing, payment applications, and Schedule of Values (SOV).

  • Knowledge of bid bonds, performance bonds, maintenance bonds, retainage, and construction contract administration.

  • Strong proficiency with Microsoft Excel and Microsoft Office Suite.

  • Experience managing construction documentation and maintaining accurate project records.

  • Excellent written and verbal English communication skills.

  • Strong organizational, time management, and multitasking abilities.

  • High level of attention to detail with a proactive, ownership-driven mindset.

  • Experience with Buildertrend, CRM systems, construction project management software, or bookkeeping within construction is considered an advantage.
