Job Description - Crosby Firm - Project Coordinator

Lead client projects at a boutique branding studio, manage clients, freelancers, and timelines with confidence.

$2000-$3000/month | Full-time | Fully Remote | EST hours

I’m Victoria Crosby, founder of CROSBY. We’re a small, senior team doing around $1M/year, partnering with start-up companies in New York and San Francisco to build brands people actually notice. We work with a vetted network of top freelancers who are plugged into what’s current in design and culture.

I care about clean design, clear communication, and shipping great work without drama. Clients come to us for brand strategy, name discovery, brand identity, websites, and creativity that feels fresh and thoughtful. If you like a lean team, real ownership, and talking directly with clients to make things happen, you’ll fit right in.

We’re looking for a Project Coordinator. You’re the steady, sharp, low-ego operator who keeps projects moving, communicates clearly with clients, and leads freelancers with confidence. You understand creative work, protect scope, and know how to say “this is out of scope” nicely (and get it approved).

What sets you apart: You're financially savvy and have the capacity to understand the bottom line and the know-how to drive it (training provided). You're also looking for an opportunity to grow. For the right person, this role offers the potential to develop into a leadership position, eventually managing the day-to-day operations of the firm.

📋 Manage projects from kickoff to delivery

🧭 Lead client and talent onboarding and run regular client calls

🤝 Be the main client point of contact and build strong relationships, that you get to build on

🎨 Coordinate the creative team and align deliverables with the brief and timelines

🧰 Maintain project tools and systems (docs, trackers, assets, comms)

🚀 Support proposals and ramp-ups for new engagements

🧩 Solve blockers fast and keep momentum across teams

📏 Hold the line on scope and standards with both talent and clients

💵 Build and maintain project budgets within company templates

🧑‍🤝‍🧑 Maintain our “black book” (vetted freelancer roster) and staff projects

📝 Turn completed projects into concise case studies using our templates

📣 Assist with off-season marketing tasks when needed

Working Hours ⏰: Full-time, working 6:00am-2:00pm EST (12:00-8:00pm SAST) with occasional flexibility during busy periods.

To excel in this role, you need:

✅ Agency or studio experience (creative/branding environment preferred)

✅ Strong project management and organization skills (multi-project juggling)

✅ Client-facing communication skills (calls, updates, scope/change notes)

✅ Creative industry fluency (you “get” design quality and brand fundamentals)

✅ Proficiency with core digital tools (Google Workspace, Slack, Dropbox)

✅ Budgeting and negotiation skills for change orders and profitability

Brownie points
⭐ Experience with high-profile or senior-level clients
⭐ Branding agency background specifically
⭐ Leading distributed freelance teams across time zones
⭐ Hands-on experience creating short case studies from finished work
⭐ Familiarity with SOWs/estimations and change-order processes

Ideal fit

You’re calm under pressure, emotionally intelligent, and growth-minded. You keep standards high, stay organized, and communicate directly but kindly. You enjoy design, can read a brief and spot scope creep, and you’re comfortable guiding clients and freelancers to decisions. Low ego, sharp, and steady.

What’s in it for you?
