What You'll Be Doing
Accountability & Priority Management (Your Most Important Function)
Serve as an active accountability partner — not just tracking tasks, but actively helping the principal stay focused on what matters most versus what is merely urgent
Review the full scope of open projects regularly, surface what needs attention now, and help make clear decisions about what to defer, delegate, or drop
Flag when priorities are shifting, commitments are at risk, or when too many things are competing for attention at once
Check in consistently on outstanding action items — proactively, without being asked
Project Management & Operations
Manage projects across business ventures and personal areas — tracking timelines, deliverables, and dependencies
Support operations for the existing designer franchise business and assist with buildout and launch planning for the next franchise
Coordinate with internal team members, vendors, and external partners to keep projects moving forward
Prepare agendas, summaries, and follow-up documentation for meetings and project milestones
Systems & Organization
Build and maintain a clear, logical folder and file structure across all platforms and business areas from the ground up
Develop SOPs and repeatable processes that reduce friction and keep operations running consistently
Implement tools and templates that keep the principal and team members organized and on track
AI Integration & Workflow Efficiency
Identify and implement AI tools (ChatGPT, Claude, Notion AI, and others) to improve speed, reduce manual work, and enhance overall productivity
Build prompt workflows, automation triggers, and AI-assisted research and reporting processes
Stay current on AI capabilities and proactively bring relevant tools and enhancements into the role
Executive & Administrative Support
Manage calendar, scheduling, and meeting logistics across both business and personal commitments
Handle email management, correspondence drafting, and inbox organization
Research vendors, services, and options — then present clear, concise summaries to support decision-making
Support a wide range of administrative tasks and special projects as they arise
What You Bring to the Table
Required:
Proven experience as an Executive Assistant, Operations Coordinator, or in a comparable role supporting a high-level individual or entrepreneur
Demonstrated ability to manage multiple projects and priorities simultaneously without losing momentum or detail
Confidence and directness — you are comfortable serving as an accountability partner and having productive conversations about focus and follow-through
Strong organizational skills with the ability to build systems and structure from scratch
Excellent written and verbal English communication skills
Proficiency with AI tools and genuine curiosity about how to use them to work smarter
Self-directed, proactive, and able to anticipate problems before they arise
Comfortable supporting both professional and personal needs with discretion
Preferred:
Experience supporting a business owner, founder, or entrepreneur across multiple ventures
Background in franchise operations, home services, or a related industry
Experience building organizational systems, SOPs, or operational playbooks
Familiarity with project management platforms such as Asana, ClickUp, Monday.com, or Notion
Hands-on experience with AI tools for business productivity and workflow automation
Familiarity with design tools such as ProKitchen or ClosetPro (a nice-to-have for future project needs)
