Responsibilities
- Manage tenant communications, including calls regarding rent, maintenance, and updates
- Assist with property management tasks across multiple buildings in NYC
- Perform administrative support for the lead broker (emails, documents, scheduling)
- Pay bills and handle simple bookkeeping tasks
- Support in QuickBooks for expense tracking, invoices, and financial records
- Proactively follow up on deadlines, payments, and tasks
- Coordinate with clients and team via WhatsApp and group chats
- Manage broker’s calendar and scheduling (to be integrated gradually)
- Join existing systems (WhatsApp Business, OpenPhone, etc.) and suggest improvements
Must-Haves
- Experience in property management support (tenant coordination, admin, follow-ups)
- Strong administrative skills (calendar, inbox, scheduling)
- Bookkeeping knowledge – preferably QuickBooks
- Ability to make and receive calls to US clients/tenants (via OpenPhone or similar)
- Strong written & verbal English fluency
- Highly proactive, reliable, and detail-oriented
- Comfortable with WhatsApp group chats and business communication tools
