The Position
The main purpose of the Student Recruitment Administrator is to support the Sales Team by performing a number of tasks focusing on customer satisfaction and coordinating sales team activities by acting as the link between students and sales.
The Student Recruitment Administrator is responsible for tracking reports, directing emails and telephonic queries to the Student Acquisition Advisors, and preparing multiple sales documents.
The position requires for the Student Recruitment Administrator to work regular business hours; however, overtime is required during peak seasons.
Responsibilities
Executing sales administration
- Assisting with all Sales Administrative duties and in line with meeting the departments and organizations objectives and goals.
- Assist and answer queries for sales documentation, requests, and information on the same day. During the peak session, 48 hours will be given to answer these requests.
- Follow up on outstanding or incorrect documentation uploaded by prospective students for admissions and registrations applications within the agreed SLA.
- Assisting with the consulting and capturing of all Online Short Courses, including the Class of Business (COB) and Continuous Professional Development (CPD) courses offered.
- Assist with the uploading of documentation and administrative duties of the Learnership department and in line with meeting the departments and organizations objectives and goals.
- Ensure that accurate grammar and spelling is used when emailing or responding to a student or a prospective student. Always keep it professional.
- System tools may change as the business develops and changes. Administrative duties may vary and change from the standard job description provided as the business and department’s needs, responsibilities, and objectives changes and as per your line manager’s discretion.
- Submit figures and reports on time as and when requested by the line manager.
- Always available for inbound calls, outbound call campaigns and all administrative duties in line with Sales Department processes and responsibilities to ensure that the department can meet their goals and objectives.
- Assist with the capturing of Corporate Applications and all other Corporate administrative duties in line with meeting the departments and organizations objectives and goals.
- Ensure that notes are added to every application or profile touched.
- Ensure that requested documentation is correct, legible, signed, uploaded, and processed where possible, in line with the requirements dictated by the various faculties.
- Correctly and accurately making use of current Milpark systems for the capturing of enquiries and completing Administrator duties as agreed to with the line manager.
Fostering and maintaining student relationships
- Provide every prospective student with the correct information presented in a professional manner.
- Participate in outbound campaigns as required.
- To uphold good relationships with our prospective students, customers and colleagues.
- To ensure that no complaints regarding service or performance are received from students, clients and colleagues.
- Be professional at all times.
Continuously improving service standard Quality and internal growth and development requirements
- Good understanding of our product and programme requirements and all Milpark systems.
- Knowledge of the system and computer packages used.
- Demonstrate an awareness of the Milpark organizational values, policies, and procedures.
- Attend all training that you are scheduled for.
- To have an in-depth knowledge and understanding of all academic and administrative policies and procedures for both public, corporate programmes and Learnerships.
- Ensure that all deadlines / critical dates pertaining to SSD are adhered to according to the SLA, academic planners, rosters, weekly reports etc.
- Ensure that you are fully aware of the functionality of the various systems and tools.
- Excellent knowledge of all admission and registration related policies and procedures.
Education & Experience Requirements
- Minimum of a Grade 12 Qualification.
- At least 1 year Data Capturing or Administration Experience.
- Ability to use technology (Excel, Outlook, Web, databases, CRM, Dynamics365).
- High Level Verbal and written communication skills.
