Job Description - Supervisor - Order Fulfilment

JOB DESCRIPTION:

Supervisor - Order Fulfilment

KEY PERFORMANCE AREAS (KPA’S):

  • Develop Service Desk Plus SLA
  • Dock to Stock monitoring and reporting:
  • Sea Freight 5 days
  • Air Freight 2 days
  • Supply Ratio:
  • 98% daily of available stock after cut off
  • POD Management:
  • First line support on POD requests
  • Develop and monitor evolution of goods receiving process SLA for dock to STOCK:
  • Managing administrative related tasks and improving customer support by;
    • Keeping record of customer proposals, order capturing and confirmations
    • Reviewing client T&C’s – align with Normet T&C’s
    • Processing and issuing order confirmations (spare parts)
    • Tracking Spare part lead times
    • Expediting of spare parts, prioritization of part supply, rush orders vs planned spares supply, investigate alternative sourcing to expedite and improve lead times with NIL for customer Back Orders
    • Attend weekly Back-order reporting meeting in support
  • Provide Administrative support to Order Desk and Supply Chain departments:
  • Costing inbound deliveries as per import documents and invoices received
  • Goods receiving into ERP system
  • People Management:
  • Insure regular two-way communication with staff on all general staff matters such as SOP’s, policy changes etc. to ensure understanding, required competency as well as compliance with SOP criteria
  • Monitor and control staff time keeping, general and specific absenteeism trends and overtime worked to ensure adherence to Normet Africa’s HR policies and relevant National Legislation and take appropriate corrective action where necessary.
  • Deal with grievances, conflict and disciplinary issues and take appropriate corrective actions in accordance with Normet Africa Policy on matters related to misconduct and incapacity (performance & ill health), with a view to improving productivity.
  • Conduct performance management and monitor performance on an ongoing basis through mentoring, coaching, and reviews according to agreed timeframes and take appropriate steps to correct problems.
  • Track and drive individual development plans for staff by identifying general training and staff development needs& ensuring that staff attend organized training programmes.
  • NIL liaison for Africa customers:

Normet Africa Supervisor is responsible for customer interaction in the Africa Region and to link Service Sales with spare part sales order fulfilment and deliveries from the Global Distribution Centre (GDC).

  • Handling customer claims.
  • Preparing quotations; offers, lead time and prices, order confirmations.

Following through customer requests for price and lead time, order placement to fulfilment and ensuring information, deliveries and services to end customer site as confirmed deliveries

  • Preparing and sending out of sales orders from customers
  • Sales order expediting activities
  • Support in supplier quality issues and in claim handling
  • Interact with Supply Chain Planning to facilitate order management

EDUCATION:

  • Grade 12 or equivalent
  • Minimum Diploma in Supply Chain or equivalent

EXPERIENCE AND KNOWLEDGE REQUIREMENTS:

  • Minimum 5 years relevant experience in Supply Chain Management
  • Supervisory experience
