Flash Forward Productions is seeking a highly motivated and detail-oriented Production Assistant to support the CEO and production team across all stages of production.
This is a fast-paced, hands-on role requiring exceptional organisational skills, proactive problem-solving, and a passion for the media production industry.
Key Responsibilities
1. Production & Pre-Production Support
• Assist with logistics: travel , accommodation, catering, and equipment.
• Coordinate crew, vendors, cast, and contractors.
• Support producers with call sheets, timelines, and on-set tasks.
• Capture behind-the-scenes content role on shoot days.
2. Supplier & Quotation Management
• Source and negotiate quotes
• Manage bookings and maintain supplier records.
• Keep vendor contact details, rates, and service notes up to date.
3. Scheduling & Communication
• Schedule meetings and send reminders
• Take and distribute meeting minutes.
• Track follow-ups and meeting action items.
4. Creative & Pitch Support
• Contribute to concept development and scripting.
• Assist with pitch decks, treatments, and visual references.
• Help coordinate social media content planning.
5. Office Administration
• Handle general office duties and facility maintenance.
• Manage office supplies and craft station.
• Liaise with landlords and service providers.
• Welcome clients and maintain a professional office environment.
