Job Description - Part Time Accounts Assistant

Our client is looking for a Part Time Accounts Assistant to join their team. You must be a quick learner, be proactive and have the ability to work independently, with proficiency in Excel. 

Requirements

Job Specification:

Daily Tasks:

  • Enter invoices for the purchase of carbon allowances and overheads into Quickbooks (QB).

  • Manage the accounts inbox, liaising with the Accounts Manager as needed.

  • Resolve supplier queries, credit notes, corrections, and exchange differences in QB.

  • Oversee the bank feed from Lloyds Bank into QB, ensuring accurate allocation of receipts and payments across multiple currencies (£, Euro, US$, PLN) and accounts.

  • Manage the bank feed for account balances with the currency and futures broker, allocating receipts and payments across various accounts and currencies.

  • Ensure all transactions are properly allocated in the ledgers, keeping bank and broker account positions up to date.

  • Record company credit card transactions, allocate purchases to the appropriate expense accounts, and follow up on late expense documentation as needed.

  • Raise consultancy service invoices and maintain a summary spreadsheet.

  • Address queries related to unpaid invoices, credits, and invoice generation.

  • Sort and distribute incoming post.

Weekly Tasks:

  • Push customer sales invoices for carbon credit/allowance sales from the CRM system (Zoho) to QB via an automated link.

  • Perform weekly and monthly checks to ensure the completeness and accuracy of processing, identifying and discussing any discrepancies.

Monthly Tasks:

  • Upload the monthly report from the currency and futures broker, recording all currency, futures, and mark-to-market transactions in QB.

  • Reconcile the broker statement against relevant QB ledger accounts.

  • Check month-end bank accounts against statements and convert forex balances into GBP to reconcile with QB accounts.

  • Reconcile outstanding credit card transactions with month-end statements.

  • Prepare monthly analysis of consultant charges and commissions for month-end reporting.

  • Perform other month-end procedures, reconciliations, and general support for the Accounts Manager as time permits.
