Job Description - Part-time NPO Operations Manager

Driving operational excellence within an established non-profit organisation dedicated to the green economy, this position ensures seamless daily operations, facilities coordination, and workplace safety. This part-time role is designed to maintain an efficient, clean, and welcoming environment for internal teams, visiting stakeholders, and external partners.

The successful candidate will apply critical thinking and moderate autonomy to manage facilities, oversee procurement, lead health and safety compliance, and deliver administrative support across departments.

Key Responsibilities

  • Ensure smooth office operations with minimal disruptions through physical maintenance oversight and vendor management
  • Maintain fully stocked inventory for consumables, office supplies, stationery, and kitchen items consistently
  • Conduct monthly physical inspections to proactively track and resolve maintenance issues
  • Execute the health, safety, and environmental function, ensuring strict compliance with the Occupational Health and Safety Act
  • Lead the Health and Safety Team through action lists and quarterly meetings while maintaining accessible safety documentation
  • Coach and mentor direct reports to deliver consistent, high-quality administrative support
  • Manage facility requirements, catering, and room setups for meetings and workshops to provide a positive guest experience
  • Lead procurement using internal software systems, processing purchase requests, and maintaining supplier databases
  • Support the Finance team with data capturing, invoice processing, and expenditure allocations to ensure audit-ready documentation Oversee travel booking processes and manage relationships with travel service providers
  • Assist the HR team with administrative items, logistical support, and employee culture-building activities



Requirements

  • Relevant Bachelor's Degree (NQF Level 6) Training in Finance and/or HR
  • Between 5 to 6 years of relevant experience within facilities and operations management
  • Demonstrated experience managing budgets for consumables, office supplies, stationery, and kitchen supplies
  • Proven awareness of the Occupational Health and Safety Act and workplace safety requirements
  • Practical experience using formal company systems for procurement
