Core Responsibilities
- Manage calendar, inbox, scheduling of showings/appointments.
- Draft and prepare standard real estate contracts/forms (templates/guidance provided).
- Maintain CRM data hygiene (Follow Up Boss): log calls, notes, next steps, pipelines.
- Make outbound calls to warm leads (past clients, referrals, nurtures) and handle follow-ups.
- Track tasks, deadlines, contingencies, and status updates for active deals.
- Prepare and organize documents and links from MLS/real estate websites as directed.
- General admin support to free up agent for client appointments and field work.
MUST HAVE
- 3–4+ years as a VA/Admin (real estate experience strongly preferred).
- Excellent English (spoken & written); confident and professional on the phone.
- EST overlap (consistent availability during Eastern business hours).
- CRM proficiency (Follow Up Boss) and email/calendar mastery (Gmail or Outlook).
- Contract/Docs familiarity (comfortable filling templates, proofreading terms).
- Detail orientation & reliability (accurate data entry, on-time deliverables).
- Proactive communication (flags issues, confirms next steps, closes loops).
- Confidentiality and sound judgment handling client information.
Nice to Have
- Experience with cold calling (expired listings/FSBOs) or open to learning.
- U.S. real estate admin background (MLS/portals familiarity).
- Google Workspace (Drive/Docs/Sheets), e-signature platforms (e.g., DocuSign).
