Job Summary:
We are looking for a detail-oriented and organized Back Office Agent to join our team. The successful candidate will be responsible for supporting the administrative processes related to guest registration, managing communication channels, and ensuring accurate billing and payment tracking. This role plays a vital part in the seamless coordination between departments involved in the guest journey, ensuring a smooth and efficient experience for all our guests.
Key Responsibilities:
- Handle the administrative registration of guests in our management systems.
- Monitor and manage all guest communication channels (email, internal platforms, messaging apps, etc.).
- Collaborate with the Front Desk team on all administrative tasks related to guest billing and charges.
- Ensure the accurate processing and follow-up of payments related to guest reservations.
- Coordinate with relevant departments (Reservations, Revenue, Front Desk, Housekeeping, etc.) to align all payment and booking information.
- Maintain accurate records of transactions and guest interactions in accordance with company standards.
- Support with reporting tasks and assist in improving internal procedures related to guest administration and payments.
- Handle sensitive guest information with discretion and confidentiality.
Requirements:
- Previous experience in a similar administrative or back office role in hospitality is a plus.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to manage multiple tasks and prioritize effectively.
- Proficiency in hotel management systems (PMS), Microsoft Office Suite, and other administrative tools.
- Team player with a proactive attitude and willingness to support cross-functional teams.
- Fluency in English and Spanish - additional languages are an asset.
