Descripción del trabajo - Junior Corporate Governance Assistant

We are seeking a motivated and detail-oriented Junior Corporate Governance Assistant to join our expanding team in Girona, supporting our Corporate Governance department in Luxembourg. This role offers an excellent opportunity to develop foundational skills in the financial services sector, particularly within the investment fund industry, and gain valuable exposure to cross-border governance practices.

As part of our central administration and domiciliation services offering, you will support day-to-day administrative tasks for a portfolio of investment fund entities, in close coordination with our Luxembourg team.

Key Responsibilities

  • Document management and archiving: Ensure accurate filing and consistent organisation of corporate documents (constitutional documents, powers of attorney, etc.) in line with internal procedures.
  • Corporate data maintenance: Assist in the update and monitoring of corporate information across internal systems. Maintain the platform (e.g., board composition, addresses, etc) to ensure completeness and accuracy of entity profiles.
  • Execution of corporate documents: Support the preparation and execution process of legal and corporate documents by coordinating the signature workflow, liaising with signatories, and monitoring timely return.
  • Correspondence handling: Manage the classification, and proper storage of incoming correspondence. Ensure timely communication with the clients.
  • Support with regulatory filings: Provide assistance in preparing documentation required for various filings with public authorities (e.g., BCL, ISINs, LBR, CSSF), and support the submission process under the supervision of Luxembourg-based colleagues.
  • Support in handling audit and third-party requests: Assist the Luxembourg corporate governance team in gathering and organising corporate documents, statutory records, and other information required to respond to queries or formal requests from external auditors, notaries, banks, or other third parties.
  • Administrative and project assistance: Participate in ad hoc projects such as archiving, entity data reviews, and process improvement initiatives. Provide general support to the governance team to ensure smooth operational execution.
  • Bachelor’s degree.
  • Strong attention to detail and commitment to data accuracy.
  • Excellent organizational and time management skills.
  • A collaborative mindset and ability to work effectively with cross-border teams.
  • Proactive and reliable, with a willingness to learn and take ownership of tasks.
  • Fluency in English is required; any additional language is a plus.
