Regulatory Data and Documentation Specialist

The Opportunity

We are looking for a highly organized and detail-oriented junior profile to support Regulatory Affairs operations, with a strong focus on documentation management and regulatory data maintenance.

This role is primarily administrative and data-driven, ensuring that regulatory information and technical documentation are accurate, complete, traceable, and properly maintained within internal systems.

It is an excellent opportunity for a junior professional who is interested in gaining exposure to Regulatory Affairs in the cosmetics industry, while working in a role that requires rigour, structure, and strong attention to detail.

What you'll get to do

Documentation Management & Administrative Support

• Request and collect regulatory and technical documentation from suppliers and third-party manufacturers


• Verify that documentation is complete, consistent, and aligned with internal requirements


• Classify, archive, and maintain documents in internal systems following established procedures


• Ensure traceability, version control, and proper documentation lifecycle management


• Act as a point of coordination with internal stakeholders to follow up on missing or incomplete documentation

Regulatory Data Maintenance & Systems

• Enter, update, and maintain data in internal regulatory databases and systems


• Ensure data accuracy, consistency, and integrity across platforms


• Perform regular data quality checks to identify gaps, inconsistencies, or duplications


• Support system updates, data clean-up activities, and continuous improvement of data quality


• Contribute to audit readiness by ensuring documentation is complete, structured, and easily retrievable

Education & Background

• Degree or vocational training in Administration, Data Management, or similar


• A first exposure to Regulatory Affairs or Compliance is a plus

Skills

• Strong organizational skills and exceptional attention to detail


• Ability to manage large volumes of data and documentation with precision


• Comfortable working with Excel and digital tools/databases


• Ability to follow structured processes and ensure data traceability and consistency


• Good communication skills to interact with internal teams and external partners


• Fluent in Spanish and English
