Events Coordinator

Event & Course Coordination

• Plan, organize, and execute DSD courses and company events, ensuring seamless operations and high-quality attendee experiences.

• Coordinate all logistics, including venue selection, catering, AV setup, and on-site support.

• Develop detailed event timelines and task lists, ensuring all aspects are delivered on schedule.

• Manage event budgets, tracking expenses and ensuring cost efficiency.

• Liaise with speakers, trainers, and external vendors to guarantee successful event execution.

• Manage courses and dental company calendars, ensure they are always updated 

• Ensure the collection of post-event feedback to identify areas for improvement.

Studio Management

• Oversee the day-to-day operations of the DSD studio, ensuring the space is well-maintained and properly equipped for courses and events.

• Manage scheduling and booking of studio space for internal and external activities.

• Supervise and coordinate with technical support teams to maintain AV and studio equipment.

• Ensure compliance with health and safety regulations within the studio.

Collaboration & Communication

• Work closely with the Growth, Marketing, and Customer Support teams to align event strategies with company goals.

• Coordinate with external partners, sponsors, and vendors to ensure successful event execution.

• Communicate event details and updates effectively to internal teams and stakeholders.

• Assist in promotional efforts, collaborating with the Marketing team to ensure high event attendance.

Budgeting & Performance Tracking

• Develop and manage event budgets, ensuring cost-effective planning while maintaining high-quality standards.

• Track key performance indicators (KPIs) for events, including attendance rates, customer satisfaction, and revenue impact.

• Provide regular reports and analysis on event performance and budget utilization.

Required Qualifications

• Fluency in English (written and spoken). Spanish and/or German proficiency is a plus.

• Bachelor’s degree in Event Management, Business, Marketing, or a related field.

• Minimum of 3-5 years of experience in event planning, coordination, or related roles.

• Strong project management skills with the ability to multitask and prioritize effectively.

• Excellent communication and negotiation skills.

• Proficiency in event management tools, CRM systems (e.g., HubSpot, Asana, Notion, office files), and budgeting software.

• Ability to work independently while collaborating with multiple teams.

• Availability to travel and work on weekends/holidays or at night when necessary.

Preferred Qualifications

• Experience in the educational sector (courses), dental companies, or similar industries.

• Certifications in event planning, project management, or related fields.

• Strong understanding of digital event management and hybrid event technologies.
