Job Description - Office Manager

Join us in an exciting opportunity! We're looking for a proactive and energetic individual to keep our Stockholm office buzzing while our Office Manager is on parental leave. In this role, you'll be the driving force behind our office's success, ensuring the best conditions at our level 15 office in Hötorgskrapan. From optimizing conditions at the office to managing day-to-day operations, you'll be the superhero we need to ensure everything runs smoothly. Are you the perfect fit for this role? Join us for a 75% position from mid-August until end of March 2025.

ABOUT THE ROLE  

You'll be the familiar face at our Stockholm office, providing exceptional service and flexibility as you handle various tasks, including:

  • Responsible for maintaining a functional and enjoyable office environment.
  • Keeping the office running smoothly and managing interactions with suppliers and the landlord. (Office performance, error reports, etc.)
  • Warmly greeting guests and directing calls.
  • Managing office supplies (purchases & deliveries) and coordinating our event calendar such as morning fikas, after works, training sessions etc.
  • Ongoing office administration such as bookings and administration regarding internal meetings, training and travels.
  • Assist and support before and after Marketing events with orders, packing material etc. 
  • Be actively involved in the onboarding process of new colleagues, providing guidance and support regarding office setup, equipment, etc.
  • Collaborating closely with our Office Manager in Gothenburg, Victoria .

You'll have the freedom to approach tasks your way, but you'll also be part of our People team in Gothenburg, reporting to Charlotte , our Chief People Officer. This means being proactive and independent while knowing when to ask for help is crucial. Work hours may vary depending on office needs. Some days from 7:00- 14:00, others from 10:00-17:00. A schedule will be set collaboratively.

YOUR BACKGROUND ✔️

To succeed in this role, you should have:

  • Possibility to work 75% from mid-August until end of March 2025.
  • Experience in service. Experience as an Office Manager or in service industries is a bonus.
  • Administrative experience.
  • Familiarity with digital tools like Office365.
  • Driver's license.
  • Fluent in Swedish and English.
  • A high school diploma.
