Job Description - HR and Procurement Manager Lidköping

Human Resources and Procurement Manager in Lidköping
20 to 40 hours per week


As the Human Resources and Procurement manager at White Label Agency, you will recruit, support, and develop talent in alignment with our company’s policies and managing procedures within the Lidköping office. 



You will carry out administrative tasks and contribute to making White Label Agency a better place to work; with the overall goal of providing excellent assistance and support to our employees and managers.



You will have an responsibility for procurement of equipment, merchandise and supplies globally. 



Relevant experience and abilities



  • Proven experience in HR management or administration.

  • Fluency in both written and spoken Ukrainan, Russian and English (Swedish is not required).

  • The position requires minimum 3 days/week work from the Lidköping office. 

  • Knowledge of HR functions: pay & benefits, recruitment, training & development, etc.

  • Understanding of Ukrainan labor laws and disciplinary procedures.

  • Proficient in google suite and knowledge of HRMS.

  • Outstanding organizational and time-management abilities.

  • Excellent communication and interpersonal skills.

  • Ability to engage in resolution oriented negotiation.

  • Problem-solving and decision-making aptitude.

  • Strong ethics and reliability.

  • Commitment to White Label Agency’s core values. 



Responsibilities



Recruitment:



  • Oversee the hiring process.

  • Create and manage job ads and job descriptions.

  • Sort resumes and select applicants who meet requirements.

  • Hold first round interviews.

  • Attend follow-up interviews in support of the relevant manager.

  • Ensure applicants align with the company's culture, values, and needs.

  • Check applicants’ references and conduct criminal background checks to ensure their suitability.

  • Ensure hiring processes are transparent and non-discriminatory. 



Retention:



  • Coordinate onboarding activities, including: contract drafting, new employee orientation, providing access and logins to computers and software, coordinating training, and briefing on time reporting, company policy and working hours etc.

  • Ensuring accurate and up-to-date record-keeping of employee information.

  • Assist managers in providing ongoing education. Content will usually be set by managers while you will take responsibility for organizing and delivering the training.

  • Lead bi-annual performance reviews, with input from the relevant managers.

  • Assist managers in monitoring employee performance, and communicating with employees about performance related issues.

  • Support the CEO in formulating and updating compensation structures for the Swedish team members, including annual salary adjustments.

  • Foster an inclusive, tolerant and professional office culture through various initiatives. 

  • In the event of grievances or harassment, ensure these are dealt with in accordance with company policy. 

  • Administer the offboarding procedure as per company guidelines.



Administration:



  • Assist the Office Manager with payroll management.

  • Support managers in scheduling meetings and appointments. 

  • Ensure policies are up-to-date and appropriately communicated to employees.

  • Verify timesheets are filled in by employees, including coding of sick leave, vacation, parental leave and caregiver leave. 

  • Monitor sick leave, vacation, parental leave and caregiver leave to ensure adherence to company policy and identify potential problems. 

  • Ensure employees apply for vacation in a timely manner. 

  • Coordinate the scheduling of annual leave to ensure employees receive leave entitlements while White Label Agency is able to meet operational commitments. 

  • Address employee queries regarding policies, procedures and office management issues.

  • Champion employee well-being and address their rehabilitation needs when required.

  • Manage inbound and outbound mail. 

  • Re-stock office supplies and sundries, including ordering company shirts etc. 

  • Liaise with labor unions.

  • Oversee employee health and safety. 

  • Introduce and maintain occupational health and safety policies.



Events:



  • Organize team building events (“julbord”, lunches, “after work mingles” etc).

  • Coordinate an annual conference where managers from all offices globally come to Lidköping over 2-3 days.

  • Coordinate travel arrangements for employees, airline bookings etc.



Procurement:



  • Organize procurement process throughout the company.

  • Work with Ukrainan suppliers to purchase computers, furniture and rent office space.

  • Responsible for contracts with suppliers
