Job Description - HR Assistant (Board Administration)

For an international organization, we are looking for

HR Assistant (Board Administration)

Your challenges

  • Serve as Secretary on Appointment Boards. This includes convening meetings, arranging interviews, tests, and assessment centers, distributing information on relevant policies and procedures to Board members, preparing and distributing files for the Board's consideration, proposing interview questions and tests, recording proceedings, maintaining records, carrying out reference checks, and preparing the Board's final report.
  • Provide administrative support for the recruitment and selection process for temporary and fixed-term staff. This includes processing applications, conducting pre-screening based on eligibility criteria where required, drafting correspondence and responding to candidate queries, and making all logistical arrangements to ensure the process is completed smoothly within the target timeline.
  • Assist with responding to queries sent to the generic email box, providing helpdesk service and information to internal and external applicants, and following up if required.
  • Provide assistance with the functions of other support staff in the section as needed.
  • Perform other job-related duties as required.

Your skills

  • Completed secondary education.
  • Relevant professional experience in administrative support roles or logistical coordination, preferably with experience in recruitment support.
  • Relevant HR experience.
  • Relevant experience in an international organization, a plus.
  • Experience with and knowledge of an ERP system, preferably PeopleSoft.
  • Experience with and knowledge of recruitment tools, ideally Taleo.
  • Native English speaker or at least C1 level in English (with excellent drafting capabilities).
  • Good knowledge of French.
  • Knowledge of other UN official languages, an asset
  • Client orientation, with the ability to deliver high-quality client service.
  • Ability to provide logistical and secretarial support to selection Boards.
  • Ability to work collaboratively in a team.
  • Strong analytical and problem-solving skills; initiative in resolving complex and sensitive issues; tact and discretion.
  • Excellent organizational and time management skills with the ability to manage competing priorities.
  • Excellent drafting skills.
  • Excellent interpersonal and communication skills and ability to maintain effective partnerships and working relations in a multicultural environment with sensitivity and respect for diversity.
  • Competent user of Microsoft Office applications (Word, Excel, Outlook, PowerPoint), the internet, and information systems, with the ability to adapt quickly to new software.
