Job Description - Administration of sales ( ADV ) representative
The main role of the sales administrator is to take care of the management of sales contracts and is a fundamental cog in a business. Its objective is to ensure the smooth running of the sales cycle: from receipt of the customer's order to its delivery to the designated place. Constantly at the heart of the trading movement, the sales administrator provides the interface between the customers, but also takes care of the financial and administrative side of the operations, by managing the invoicing system and the smooth running of the administrative processes with regard to credit notes, discounts or outstanding amounts of customers.
Thus, this profession is entirely versatile, and the harsh laws of the current market push companies to understand more and more closely the needs of their customers, hence the essential need for employees in the administration and supervision sector.
Your mission
At Safran, ADV plays an essential role, at the interface between the Customer, the Supply Chain (operations) and the finance department.
As ADV Representative, you oversee the analysis of customer demand throughout the supply chain, and develop ways to forecast future demand. You ensure the execution of all sales contracts from order taking to delivery, invoicing and collection. Your goal is the Customer satisfaction.
You are in the sales team and will work with the sales manager
Your responsabilities
Order flow processing
Creation, processing, delivery, payment.
Proactively monitor the Customer relationship.
Ensure the quality and internal controls compliance of processing: compliance with signed offer / contract and related prices, deadlines, service and laws on the export of controlled products.
Confirm customer orders on time according to availability of materials and capacities
Establish sales projections within the framework of the budget, updating the budget in connection with sales and finance
Establish offer for SED customer
Establish the price list with the sales team
Follow-up on customers’ receivables (overdues)
Export control
Assist on export logistics & customs matters if needed
Demand Plan planning ( interface to the demand planner
Interpret market history and information from sales teams taking into account parameters that can affect sales (life cycle, seasonality).
Analyze forecast dashboards and establish short, medium and long-term forecasts on a regular basis.
Measure and improve the quality of forecasts, KPIs.
Prepare and animate the review.
Reporting
Establish monthly sales reports, short and medium term forecasts and monthly planning and delivery performance indicators.
Creation of dashboards associated with the visibility needs of the sales and production teams.
Regularly monitor and report expected deliveries, possible delays, payments.
Cooperate with the financial department for the monthly reporting & various requirements
Continuous improvement
Proactively participate in the continuous improvement of methods and tools
Improve the performance of existing sales administration processes with a view to streamlining tasks and ensuring consistency of activities together with internal controls compliance. Remove non-value added stains
