Department Operations Officer (m/f/x/d, Hybrid 80% - 100 %)

Can you effectively manage a department's operations, align with wider organisation goals and support the department and its leadership team in achieving its objectives? If you're excited by any of these opportunities to contribute to and influence the success of a department, then we want to hear from you!

About the role
The Department Operations Officer (DOO) is a pivotal role within our organisation, ensuring the smooth and efficient operation of departmental processes and functions. The DOO acts as a strategic partner to the head of the department(s) they support and are responsible for overseeing strategic priorities, the day-to-day operations, managing department budgets, and coordinating with various teams to ensure alignment with organisational goals, governance and standards. The ideal candidate will act as a liaison between the department and other internal groups, such as HR, Op Risk, Compliance and Finance, to facilitate effective communication, coordination and execution.

You will have the opportunity to engage with many colleagues across Risk Management (RM) and different stakeholder levels to deliver on a broad set of assignments, such as driving and monitoring strategic priorities, preparing targeted presentations (e.g. for RM Executive Team), organising knowledge sharing, communications and much more.

Your activities will consist mostly of project management, strengthening the collaboration with experts to connect the dots and achieving a seamless delivery. You will also have further opportunities to dive deeper into the content/mandates of the department(s) that you are supporting. The role requires strong organization and execution skills. Also, as you will interact with many colleagues incl. senior management, excellent communication skills are vital.

This role will give you an excellent overview and insight into the workings of RM at Swiss Re as well as of other functions of a global reinsurance company. You will interact frequently with colleagues across the organisation, providing you with a great platform to have an impact and strengthen your experience.

Depending on shifting priorities, you will be leading and investing your time on the following topics:

• Providing leadership team support (meeting coordination, setting agendas and follow-ups)
• Support the department head in the development, implementation and tracking of all elements of the department strategy and priorities, aligning with the RM and Swiss Re strategies
• Lead and contribute to department or RM wide initiatives and projects
• Develop crisp, concise communications and presentations for key stakeholder meetings (e.g., Risk Management executive meetings, townhalls)
• Coordinating department travel and training plans
• Supporting the financial and people (FTE) planning processes
• Reviewing and tracking departmental costs, sharing actionable insights and flagging areas where cost can be influenced

About the team
You will be a valued member of the Chief Risk Officer (CRO) Office team, which supports the Group CRO, the Risk Management Executive Team (RM ET) as well as RM in general to deliver against its ambitions. The CRO Office hosts a central team of DOOs who are each allocated to support the various Risk Management departments in the Group Risk Management function.

About you
• Relevant experience (>3 years) in project and/or process management
• Higher level of education – graduate degree (Master's or MBA) preferred
• Excellent organisational, prioritisation and planning skills to manage and oversee the execution of a range of activities
• Strong sense of ownership, dedication, and attention to detail
• Experience in people and cost planning, working with budgets and KPI monitoring, and understanding control aspects of operational risks
• Exceptional execution and communication skills
• Proficiency in English
• A team player, stepping-in for each other if/where needed and who keeps the big picture in mind
• Experience working in the re/insurance industry and a good understanding of Risk Management processes is a strong plus
