Job summary In this position you will provide high-level administrative support to the Managing Director KLK Kolb Group & Tensachem and to the CEO KLK OLEO Europe ensuring seamless daily operations. This role requires excellent organizational, communication, and multitasking skills to manage schedules, correspondence, and other executive tasks effectively.
Administrative Support
Manage and maintain the executive’s calendar, schedule meetings, and coordinate appointments
Prepare and edit correspondence, reports, presentations, and other document
Handle travel arrangements, including flights, accommodations, and itineraries
Prepare expense reports and credit card statements
Communication Management
Serve as the primary point of contact between the executive and internal/external stakeholders
Screen and prioritize emails, calls, and other communications
Draft and respond to correspondence on behalf of the executive
Meeting Coordination
Organize and prepare agendas, materials, and follow-ups for meetings
Record meeting minutes and ensure timely distribution
Ensure the executive is well-prepared for all engagements
Project Management
Assist in planning and executing special projects or events
Monitor deadlines, track progress, and provide updates to the executive
Office Management
Maintain confidentiality and handle sensitive information with discretion
Manage office supplies, equipment, and other resources
Coordinate with other departments to ensure smooth operations
Relationship Management:
Build and maintain relationships with clients, vendors, and team members
Represent the executive in a professional manner during interactions
Bachelor’s degree in Business Administration, Communications, or a related field preferred, or equivalent
Minimum of 5 years of experience as an Executive Assistant or in a similar role
Experience in chemical or pharma industry is a plus
Exceptional organizational and time-management skills
Strong written and verbal communication skills in German and English
Proficiency in Microsoft Office Suite, Google Workspace, and other relevant software
Ability to multitask and work under pressure in a fast-paced environment
Strong problem-solving and decision-making abilities
Professional demeanor and ability to maintain confidentiality
Self-motivated, proactive, and detail-oriented
Flexible and adaptable to changing priorities

Working place is Hedingen/Switzerland; occasional travelling may be required
