Job Description - Internship: Event Management & Administration Support

Your mission

The Event Management & Administrative Support intern will assist the CyberPeace Institute in organizing events in The Hague that further international peace and justice. This role involves providing administrative assistance to ensure the effective governance of the Institute, promoting its activities within the EU, and helping manage relationships with civil society and private companies to collaboratively pursue peace in cyberspace. Your Responsibilities Event Management

  • Facilitate the organization of events by providing logistical support.
  • Oversee the list of invitees and speakers and respond to their inquiries.
  • Engage with external parties and co-organizers of conferences and other events.
  • Support the development of event marketing deliverables including PowerPoint presentations, invitations, and internal agendas, in addition to other communications materials as required.
  • Support the CyberPeace Institute in carrying out its day-to-day activities in fostering relationships with the community and other stakeholders.
Administrative Support
  • Assist in the organization and logistics of meetings, presentations and virtual calls.
  • Generate reports and manage correspondence.
  • Providing support to the preparation of documents and slide decks.
  • Help with updating excel spreadsheets and other data entry tasks.
  • Create and reconcile expense reports, ensuring accuracy and compliance with CyberPeace Institute financial procedures.
Additional Information
  • Mandatory: tripartite internship convention/agreement between the student, the University and our Institute
  • Duration: 6 months
  • Working rate: full-time
  • Starting date: 1 June 2024
  • Location: The Hague

Your profile

Your Experience, Skills and Attribute

  • Ongoing studies at The Hague relevant to responsibilities, like in (cyber) security studies, public management, international relations or other relevant field.
  • Fluency in English, spoken and written.
  • Strong planning and organizational skills especially when it comes to international events.
  • Pays attention to details and maintains a systematic and structured approach.
  • Proven admin, assistant or event planning experience is an asset.
  • Problem-solving skills and having the ability to multitask.
  • Demonstrates an understanding of the basic principles of public relations and excellent interpersonal skills with external partners from varied backgrounds.
  • Knowledge of full MS Office Package, especially Excel.
  • Flexible, proactive and able to work independently and as part of a multinational team.
  • Demonstrated commitment to work in NGOs - nonprofit sector.
