Job Description - Event Specialist

In this pivotal role, we are seeking a dynamic Events Specialist who embodies a growth mindset, eagerness for self-development, and a knack for inspiring positive change. As an integral part of our team, you will be responsible for orchestrating and executing a spectrum of meetings, events, seminars, and conferences, working closely with Brand Partners and the field sales team.

Your role will encompass coordinating with agencies, local hotels, managing the planning process, and ensuring seamless execution from printed visual materials to price negotiations. Furthermore, you will be entrusted with the crucial task of safeguarding compliance with relevant company policies and global/local rules and regulations.

Your proficiency in budgeting and securing payment agreements with third parties and project owners related to events and meetings will be instrumental in your success.

Your responsibility

As the Events Specialist, your responsibilities will include:

Collaborating with Brand Partners and the field sales team to coordinate agencies, local hotels, and other stakeholders.

Managing the end-to-end planning and execution of meetings, events, seminars, and conferences, with a focus on negotiating prices for printed visual materials.

Ensuring strict adherence to company policies and compliance with global/local rules and regulations for all seminars, meetings, and events.

Preparing comprehensive budgets and payment agreements with third parties and project owners related to events and meetings.

What are we looking for?

We are seeking candidates who possess:

A growth mindset, demonstrating an eagerness for continuous self-development and the ability to inspire positive change.

Minimum 3 years of experience in congress and event organization, preferably with a focus on large-scale events.

Proven ability to manage simultaneous multiple projects and strong event management skills, including planning, organizing, reporting, and post-event analysis.

Meticulous attention to detail, the capability to take control of core meetings, and ensure accurate comprehension of requirements.

Excellent time management, prioritization, and proactive problem-solving skills.

Advanced communication skills in English, both oral and written.

Flexibility for domestic and international travel.

Proficiency in MS Office applications.
