Job Description - Facility & Admin Executive

As Facility & Admin Executive, you will be integral in ensuring the seamless operation of administrative and facility-related functions, encompassing maintenance, compliance, support IT & HSSE (Health, Safety, Security, and Environment), real estate, fleet management, company cars/shuttle, catering, and cleaning. Reporting to the Area Admin & Facilities Manager, East Mediterranean, you will play a pivotal role in coordinating and overseeing these diverse aspects to uphold operational excellence and regulatory compliance. The ideal candidate will demonstrate exceptional organizational, communication, and problem-solving skills, along with a proactive approach to anticipate and address administrative needs effectively.

Key Responsibilities

Coordinate Maintenance and Repairs:

  • Oversee maintenance schedules and coordinate repairs for facilities, equipment, and infrastructure.
  • Liaise with maintenance staff and external vendors to ensure timely and efficient resolution of issues.

Ensure Compliance and HSSE Standards:

  • Maintain documentation and records to ensure compliance with regulatory requirements and HSSE standards.
  • Implement and monitor procedures to promote a safe and secure working environment.

Manage Real Estate and Facilities:

  • Assist in real estate management activities, including lease agreements, property maintenance, and space planning.
  • Ensure facilities meet operational needs and adhere to corporate standards.

Fleet Management and Transportation:

  • Coordinate company cars/shuttle operations, including maintenance, scheduling, and compliance with transportation regulations.
  • Manage fleet inventory and optimize transportation routes for efficiency.

Catering and Cleaning Services:

  • Arrange catering services for events, meetings, and employee amenities, ensuring quality and budget compliance.
  • Coordinate cleaning schedules and oversee cleaning crews to maintain cleanliness and hygiene standards.

Vendor Management and Negotiation:

  • Identify and engage vendors for facility-related services, negotiating contracts and service level agreements.
  • Monitor vendor performance and address any issues or discrepancies.

Analytical Reporting and Documentation:

  • Generate reports and analysis using office software applications to track facility-related metrics and expenses.
  • Maintain accurate documentation for administrative processes, contracts, and compliance records.

Communication and Stakeholder Engagement:

  • Communicate effectively with internal teams, external vendors, regulatory authorities, and other stakeholders regarding facility management activities.
  • Address inquiries, requests, and concerns in a professional and timely manner.

We are looking for:

  • Bachelor's degree in Business Administration, Facility Management, or related field.
  • Previous experience in administrative roles within facility management or related industries.
  • Previous experience in facility & administrative affairs in operational sites or facilities
  • Work experience in a dynamic operational, logistics, e-commerce or supply chain environment.
  • Ability to work with large amounts of data from various sources
  • Highly developed analytical and organizational skills.
  • Strong focus on goals and implementation of tasks within the set deadlines.
  • Capability to easily make contact and build relationships.
  • Competent to learn and adapt in a dynamic environment.
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to prioritize tasks and manage time effectively in a dynamic environment.
  • Knowledge of regulatory requirements, compliance standards, and best practices in facility management.
  • Proactive mindset with the ability to anticipate and address administrative needs.
  • Experience in vendor management, negotiation, and contract administration is preferred.
  • Understanding of HSSE principles, real estate practices, fleet management strategies, and catering/cleaning protocols is advantageous.
  • Proficiency in office software applications, including Excel, PowerPoint, and other relevant tools.
  • Effective written and oral communication skills in Turkish and English.
