The ProcurementSpecialist will be responsible for managing the company's procurement processes and assisting the business functions procure qualityservices efficiently and economically whilst maintaining high qualitygovernance and control standards.

Responsibilitiesand duties

Tender/ procurement process

· Generate all RFPs& RFQs
· Contact the end userfor scope clarification from the vendors
· Coordinate technicaland commercial evaluation
· Generate all POs
· Populate contracttemplates in coordination with legal
· Coordinate alldocument approvals
· Communicate committeddocuments to stakeholders

Supplier and vendor management:

· Update and maintainsupplier directory, including but not limited to registration, categorization,qualification, etc.
· Supplier performanceand status update in the system
· Respond to supplierquery (including acceptance of service/material, invoicing, …)
· Perform supplieraudit with the end user

Policy and procedures:

· Regularly communicatewith stakeholders to ensure a high level of understanding of procurementprocedures and requirements
· Conduct training andawareness sessions periodically
· Periodically updateand maintain the procurement policy and procedure.
· Circulate policy forreview and approval
· Make sure that thepolicy and procedures are followed

Procurement committee:

· The procurementspecialist is the secretary of the committee, the secretary’s duties are:
- Prepare the agendaand make sure all items are as per the policy in terms of eligibility and completeness
- Call for thecommittee to meet and confirm quorum is met
- Take, prepare andcirculate minutes of meeting
- Action follow up andupdate
- File and archive

Administration and Reporting:

· Report monthly on thestatus of tenders at all stages
· Maintain contractperformance and status records
· Alert end users onexpiry of contracts
· Maintain high qualityrecord keeping
· Respond effectivelyto all audit requirements

Requirements

Bachelor’s Degree

  • A minimum of 3 years’ experience as aprocurement or contract specialist, preferably within financial services or businessservices industry
  • Experiencepurchasing business services
  • Ideally good knowledge of contractmanagement and negotiating contractual terms
  • Excellent research, negotiation, andpresentation skills
  • Fluent in English, fluency in Arabic anadvantage
