Purpose
We are seeking a highly motivated and customer-focused individual to join our growing team as a Customer Relations Agent & Office Receptionist. You will play a dual role, serving as the first point of contact for both our customers and visitors, ensuring a positive and professional experience for everyone.
What You'll Do
Customer Relations:
- Respond to customer inquiries via phone, email, and face-to-face interaction
- Provide accurate and timely information on products, services, pricing, shipping, and delivery
- Effectively resolve customer complaints and concerns, ensuring a positive outcome
- Maintain accurate records of customer interactions and transactions
- Update and manage the customer database using a CRM system
- Collaborate and communicate effectively with internal departments to address customer needs
- Follow up on customer interactions and update the company system for future reference
- Identify and convert potential sales opportunities from customer inquiries
Office Receptionist:
- Greet visitors and guests in a professional and courteous manner
- Direct visitors to the appropriate team members or departments
- Manage the reception area, ensuring a clean, organized, and welcoming environment
- Answer and screen incoming phone calls, directing them to the appropriate personnel
- Manage the visitor logbook and issue visitor badges when necessary
- Schedule appointments and meetings for the Operations Manager (if applicable)
- Handle mail and deliveries, ensuring timely distribution
- Order and maintain office supplies
- Perform other administrative duties as assigned
About You
Education and Certification
- Degree or college diploma in a relevant field (preferred)
Knowledge and Skills
- Must have excellent communication skills (writing, speaking, e-mails)
- Knowledge of customer service principles and practices
- Knowledge of relevant computer application
- Familiar with CRM systems and practices
Experience
- Minimum 3+ years of experience in customer service or a related field
- Excellent written, verbal, and email communication skills
- Strong understanding of customer service principles and practices
- Proficiency in relevant computer applications (MS Office Suite, CRM systems)
- Excellent time management and organizational skills
- Ability to learn and adapt to new procedures and technologies
- Professional and courteous demeanor
