Job Description - Soft Services Supervisor

Job Purpose

Soft Services Supervisor is required to manage day to day operations in a modern multi-tenanted commercial building, managing a direct delivery and subcontract service team to deliver high levels of client and end user satisfaction.

Supervisor will demonstrate well developed soft skills to augment multidisciplinary expertise in building maintenance as well.

Supervisor will develop a detailed understanding of the varying requirements of the buildings tenants and create additional revenue opportunities through selling optional tenant focussed services and best industrial standards in order to deliver outstanding quality of our assets and optimum performance of our resources.

Principal Accountabilities

Manage all aspects of Facilities Management soft services including but not limited to cleaning internal and external areas, facades, window cleaning, pest control, waste management, internal plants & ground maintenance, goods reception & distribution.

Manage soft service suppliers, on a daily, weekly & monthly basis, professionally and in a partnering way that the outputs and manning levels for the supplier is in a cost effective, safe and secure environment and it is maximized their added value and support to ensure stakeholder satisfaction and maintain excellent quality at ENOC's premises.

Ensure that team members of supplier are provided learning, development & training opportunities on their area by identifying successors within the team, considering them for the next accountable roles and responsibilities

Develop policies & standard operating procedures, technical Scope of Works for any soft services at ENOC's premises and ensure service provider supplier follows it

Review, develop and update the relevant existing technical scope of works, procedures, operating manuals and instructions as required as part of the 'continuous process improvement.

Develop all required KPI and SLA for service provider suppliers and ensure they are managed and where they fail to meet target identify improvements to suppliers' process.

Manage implementation of relevant electronic systems / smart solutions / innovative to bring efficiency and effectiveness existing processes.

Prepare and present inputs related to ENOCs assets & projects budgets to the next reporting line.

Manage and control the actual cost verses budget on periodic basis and provide financial reports/data related to the department / divisional / project's financial performance. Review & endorse invoices to ensure expenditure is on target against plans and forward them to the next reporting line for approval

Carry out regular site audits of all site to make sure assets registered maintained well

Performed regular safety reviews, audits and inspections on all soft services works activities including Planned Preventative Maintenance (PPM) activities as well in a proactive way

Manage stakeholder relationships such as regular visits, response on timely for requests etc. & resolve issues and identify steps to improve when required.

Oversee effective provision of services for internal and external customer, keep the relationship between company & stakeholder and/or tenants in professional way

Produced & managed soft service's records and ensure suppliers manage maintenance and repair of cleaning equipment as required.

Assisting (security supervisor) all undertaken investigations of incidents or accidents happened in ENOC premises

Keen on continuous improvement of all soft service activities and be active on innovating wherever it can be introduced effectively

Carried out other duties as instructed / directed with full technical, financial and people accountability.

Provide and then maintain full compliance in with relevant local laws, rules, regulation & the requirements of civil defense, municipality, police etc.

Minimum Requirements

  • Bachelor Degree in Business (mostly preferable) or professional & vocational qualifications including industrial standards certification such BICS
  • More than 7 years' experience in Facilities Management hard service operation with output specifications in a performance managed environment
  • Excellent knowledge and expertise in Facilities Management Operation with minimum 5 years' experience working in the GCC
  • Preferable previous experience managing multi-tenanted buildings, extensively direct hard service delivery teams by the application of benchmarking techniques to improve service quality
  • Focussed self-starter with attention to detail and passion for service delivery
  • Well-developed written and verbal English language communication skills with report preparation skill and expertise on computer use
  • Strong organisational skills and ability to coordinate and deploy service provider staff and/or contractors in the operation of their duties
  • Successful application of team building skills to develop high performance delivery teams
  • Active listening skills and the ability to take all opinions into consideration
  • Commercially aware with exposure to the aspects and requirements of conducting business in a large commercial building
  • Record of dealing with difficult people and situations and making appropriate judgement decisions
  • Record of implementing systems to effectively record, address and finalise maintenance issues
  • Well-organised, methodical manner and a problem solving ability to think 'on the run'
