Location: Dubai, United Arab Emirates

Your Responsibilities:

  • Report to, and work effectively with, the Senior Manager of MD Office to keep well informed of upcoming commitments, assigned tasks and responsibilities.
  • Coordinate and maintain calendar by planning and scheduling meetings, conferences, teleconferences and ensure the schedule is followed and respected.
  • Manage the Managing Director's travel arrangements, visas, and monthly cost claims.
  • Prepare presentations, letters, and other sensitive documents necessary.
  • Build strong customer connections with external suppliers as needed, handle contracts, process bills, and keep track of agreements.
  • Manage expenses for MD and follow the reimbursement process for MD's Direct Reports.
  • Keep track of all tasks on a shared program or system, and ensured each are actioned in the appropriate timeline.
  • Initiate effort/energy beyond the typical workday where the tasks require commitment.
  • Provide a bridge for smooth communication between the MD's office and internal departments demonstrating leadership to maintain confidentiality, trust, and support with senior management staff.
  • Provide professional and confidential administrative and research support to the MD and liaise on a variety of special projects.
  • Undertake research and prepare monthly reports, presentations, corporate submissions, and other correspondence for the Chairman.
  • Follow-through on projects and assist in coordinating the agenda of senior management team meetings and off-sites, and all staff meetings.
  • Provide a bridge for smooth communication between the MD's office and internal departments, welcomes all guests and respond to their inquiries by providing information according to guidelines and/or directing calls to the appropriate parties.
  • Event organization is an important part of the job, which varies from events in hotels or other locations, to smaller events in the office. There is often a requirement to order items such as back-drops, decor, trophies, awards, gifts, and cakes.
  • Track and follow the approved financial approval process for payments and Purchase Orders.
  • Organize and maintain the online filing system.

Education and Experience:

  • Bachelors or master's in business administration or any relevant field.
  • 6+ years of relevant experience in corporate set-up
  • Strong organizational skills
