Virtual Assistant (Confirmation Caller)

Key Responsibilities - Summary
Seeking an energetic, highly motivated Virtual Assistant.
This position has responsibility for assisting the group's calling management for Israel/US/Mexico-based operations to the rest of the world. The position supports the strategic plan and the development and execution of priority projects with the support of our in-country colleagues from a cloud-leveraged environment.
Objectives
The VA-Confirmation Caller is responsible for talking to potential candidates or leads on the phone (direct calls) to confirm if they received well any information sent through email or any other digital means, and validate their interest in participating in the selection processes or in our services . The duties include tracking candidates or contacts lists and taking notes or information. Provide solutions, support, administrative, and related services designed to improve operating efficiency.

  • Work with regular supervision to plan, prioritize, communicate, and organize a generally standard workload.
  • Will be responsible for managing all functions which support the effective running of a fast-paced business. The position is key to the success and smooth operations of the organizations.
  • Exhibits pride in work, personal maturity, and good judgment and enjoys delivering value in a rapidly changing and often demanding work environment where teamwork and a partnership spirit are required and where a premium is placed on both creativity and flawless execution

Accountabilities
  • Utilize basic time management skills.
  • Answer online calls, transfer calls and take accurate messages to ensure a prompt response, that'd include:
    • Make confirmation calls
    • Make calls to gather or give information
  • Communicate in a clear and articulate manner.
  • Demonstrate a basic understanding of the parties and situations under which confidential information may be disclosed.
  • Coordinate scheduling of interviews or sessions with candidates and notify attendees of session subject, time, and location (Zoom, Skype, Google Meet) via company calendar tools.
  • Actively participate in tasks & projects completing assigned tasks within established timelines
  • Any other duties inherent to the position.

Education, Experience, Knowledge, and Skills
  • Required
    • Strong PC literacy with solid skills in Microsoft Office, Google Workspace, and Web Browsers, as well as communication tools such as WhatsApp, Telegram, Skype, Zoom, and Google Meet.
    • Ability to find solutions to a variety of problems of moderate scope and complexity, referring to a group of companies' policies and practices for guidance.
    • Bilingual in Spanish and English, both written and spoken.
  • Preferred
    • 1+ years of relevant experience in contact centers is required.
    • Basic knowledge of Functional Unit structure and policies as well as the company’s operations, policies, and procedures.
    • Human resources management knowledge and/or experience- a plus.
