Job Description - Admin and Sales Coordinator

We are presently seeking an experiencedAdmin and Sales Coordinator. In thiscapacity, you will offer in-house administrative support to theFinance & Administration Manager, ensuring the smooth flowof activities. Additionally, you will liaise with other departmentsas necessary to ensure the effective completion of assigned tasks.Furthermore, you will extend support to the SalesTeam.

KEYDUTIES/ RESPONSIBILITIES:

Sales CoordinationDuties

  • Coordinate thelaunch of new advertising campaigns, ensuring adherence toestablished campaign processes andguidelines.
  • Manage all campaign related formsand documents and register campaign with the Central BookingUnit.
  • Coordinate installation dates/campaignlaunches with the Central Booking Unit.
  • Requestmaterials from clients and obtain relevant approval formaterials.
  • Share Point of Purchase (POP)materials with clients and request proof of posting from theCentral Booking Unit
  • Ensure campaigns runaccording to agreed-upon dates and promptly communicate any delaysor issues.
  • Facilitate communication between thesales team, Client Business Unit (CBU), andclients.
  • Ensure timely delivery of clientBooking Orders and relevant forms to all stakeholders and verifythat all bookings adhere to company’s internal policiesand approved rates.
  • Undertake any otherresponsibilities as directed by the salesdirector.

Finance

  • Monitorpetty cash transactions and maintain adequate cashreserves.
  • Support the collection of outstandingpayments from clients.
  • Monitor petty cashexpenditure and maintain adequate cashreserves.

HR and AdminResponsibilities

  • Provideadequate administrative support to the employees within the DubaiOffice to facilitate achievement of strategicobjectives
  • Provide support in the recruitmentprocess and prepare monthly attendance & staffsalaries
  • Manage employee relations processessuch as leaves, End of Service &others.
  • Manage staff health insurance, airtravel arrangements, and visaprocessing.
  • Ensure proper maintenance of stafffiles & all related documented including records of hiring,resignations, promotions, andincrements.
  • Manage and supervise PRO tasks andresponsibilities and ensure timely renewal of office-relatedgovernment licenses (e.g., trade license, rentagreements).
  • Manage PR process and vendorselection procedures.
  • Draft internalcommunication related to the office operations such as internalmemos.
  • Handle office contract renewals forservices such as IT support and cleaning and ensure the officeenvironment remains operational and conducive towork.

QUALIFICATIONS, EXPERIENCE& SKILLS

  • Degreein Bus Admin. HR or related discipline will be anadvantage.
  • Above 3 years of relevantexperience
  • Very good awareness ofOrganization’s operations
  • Very goodknowledge of operation of officeequipment
  • Knowledge of the differentcommunities and demographics within UAE
  • Goodunderstanding of UAE Labour Law
